Position Overview
The Facilities Services Coordinator II plays a vital role within the Corporate Real Estate & Workplace Services (CREWS) team, enhancing the employee experience across Enterprise office locations, particularly in the Mid-Atlantic region. This position focuses on the efficient delivery of workplace services, including mail handling, printing, food and beverage services, and meeting room support. The ideal candidate will possess strong customer service and organizational skills, with the ability to manage multiple priorities in a dynamic environment.

The position is primarily based in the Columbia HQ office, with occasional travel to Mid-Atlantic offices to assist with workplace services.

Key Responsibilities:
Kitchen and Cafeteria Management:

  • Oversee inventory management, ordering, and restocking of supplies.
  • Ensure cleanliness and functionality of kitchen appliances and equipment.
  • Coordinate with vendors for service requests and ensure timely completion of work.
  • Conduct monthly fire extinguisher checks and replacements as needed.
  • Promote and enforce waste and recycling initiatives.
Mail Room, Copy Areas & Conference Room Oversight:
  • Manage inventory and restock paper supplies and toner for copiers.
  • Maintain cleanliness of copier equipment for optimal performance.
  • Ensure all areas are organized and free from clutter.
  • Monitor and address copier alerts and service requests promptly.
  • Act as the main point of contact for service vendors and ensure satisfactory completion of tasks.
Meeting Room Maintenance:
  • Conduct daily inspections of meeting spaces to confirm cleanliness and functionality.
  • Submit work orders for necessary repairs and ensure completion.
  • Collaborate with housekeeping to prepare rooms for special events.
Invoice Processing:
  • Review and verify invoices for accuracy related to mail and office services.
  • Input invoice data into the payment system and resolve discrepancies.
  • Track invoice payments to ensure timely processing.
  • Address vendor inquiries regarding payment issues professionally.
Mail Services Coordination:
  • Maintain inventory of mail supplies and coordinate service for equipment.
  • Sort and distribute mail efficiently.
  • Operate shipping equipment and ensure timely processing of packages.
  • Manage postage funds and maintain accurate records.
Light Office Maintenance:
  • Conduct regular inspections to identify maintenance needs.
  • Troubleshoot and resolve maintenance issues effectively.
  • Order and manage inventory of tools and supplies.
Qualifications:
  • High school diploma or equivalent; 2+ years of relevant experience preferred.
  • Proficient in MS Office Suite, with strong typing skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Demonstrated professionalism and flexibility in various situations.
  • Strong organizational skills and attention to detail.
Physical Requirements:
  • Ability to lift up to 50 lbs.
  • Capable of standing for extended periods.
  • Ability to work under pressure in a dynamic environment.
Compensation and Benefits:
Enterprise offers a competitive salary range of $30 to $32 per hour, based on skills and experience.
