Position Overview
The Facilities Services Coordinator II plays a crucial role within the Corporate Real Estate & Workplace Services (CREWS) team, enhancing the employee experience at Enterprise office locations, primarily in the Mid-Atlantic region, through the outstanding delivery of workplace services. These services encompass mail, copy & print, café & food & beverage, meeting room support, and general office maintenance. The ideal candidate will possess strong customer service and organizational skills, with the ability to manage competing priorities in a dynamic environment.

This position is based in the Columbia HQ office, with periodic day trips to Mid-Atlantic offices to assist office management and administrative staff in delivering workplace services.

Key Responsibilities:

Kitchen and Café Management:

  • Oversee inventory management, ordering, and restocking of supplies.
  • Ensure cleanliness and functionality of kitchen appliances and equipment.
  • Coordinate with team members or vendors for necessary services.
  • Conduct monthly fire extinguisher checks and replacements as needed.
  • Promote and enforce waste and recycling programs.
Mail Room, Copy Areas & Conference Room Maintenance:
  • Manage inventory and restock paper supplies and toners for copiers.
  • Maintain cleanliness of copier glass for optimal copy quality.
  • Ensure all areas are organized and free of clutter.
  • Monitor copier alerts and coordinate prompt service with vendors.
  • Act as the primary contact for service vendors and ensure satisfactory completion of work.
Huddle and Conference Room Oversight:
  • Perform daily checks of huddle and conference rooms for functionality and cleanliness.
  • Submit work orders for required actions and ensure completion.
  • Collaborate with housekeeping to prepare rooms for special events.
Invoice Processing for Services:
  • Review and verify invoices for accuracy related to mail, office, and printing services.
  • Enter invoice details into the payment system.
  • Resolve discrepancies with vendors in a professional manner.
  • Track invoice payments to ensure timely processing.
Mail Services Coordination:
  • Maintain inventory of mail service supplies.
  • Coordinate service for malfunctioning equipment.
  • Sort, pick up, and distribute mail at designated stations.
  • Operate shipping equipment for incoming and outgoing packages.
  • Monitor postage funds and request additional funds as necessary.
Light Office Maintenance Assistance:
  • Conduct routine inspections to identify maintenance issues.
  • Troubleshoot and resolve office maintenance concerns.
  • Manage inventory of tools and supplies.
Qualifications and Skills:
  • High school diploma or equivalent required; 2+ years of relevant experience preferred.
  • Proficient in MS Word, Outlook, and Excel; knowledge of PowerPoint and Adobe Acrobat is a plus.
  • Strong grammar, editing, and proofreading skills.
  • Excellent interpersonal skills to represent the organization professionally.
  • Ability to multitask and perform administrative duties in a fast-paced environment.
  • Strong organizational skills and ability to prioritize conflicting demands.
  • Must be able to lift up to 50 lbs and remain on feet for extended periods.
Compensation and Benefits:

The base salary for this role ranges from $30 to $32 per hour, depending on skills and experience.
