Job Overview

The Service Operations Coordinator plays a crucial role in ensuring the smooth functioning of daily service activities by managing the scheduling of our service personnel. This dynamic position requires a candidate who excels in teamwork and thrives in high-pressure environments.

KEY RESPONSIBILITIES include, but are not limited to:

  • Delivering exceptional service to clients and internal departments while providing enthusiastic support and guidance.
  • Optimizing the service team's schedule to enhance productivity and fulfill client requirements; making adjustments as necessary.
  • Maintaining accurate and up-to-date customer records and data.
  • Proactively informing clients about service appointments and promptly communicating any delays or changes.
  • Addressing customer inquiries and concerns through phone and message systems.
  • Monitoring and updating scheduling capacity and profile settings regularly.
  • Engaging in frequent communication with clients and management regarding service status and quality.

SUPERVISORY ROLE

This position does not include supervisory responsibilities.

Reports To: Team Supervisor

REQUIREMENTS

  • High school diploma or equivalent is mandatory.
  • Previous experience in the HVAC sector is preferred.
  • Experience in dispatching service teams across various states or regions is advantageous.
  • Must be organized, energetic, and passionate about customer service.
  • Ability to effectively manage time and resources while remaining organized.
  • Flexibility to adapt to changes as needed.
  • Proven ability to transition smoothly between tasks.
  • Ability to handle unresolved situations, frequent changes, delays, or unexpected events.
  • Maintains focus on objectives during shifting priorities.
  • Takes initiative to address issues or opportunities with minimal supervision.
  • Collaborates effectively with others to achieve business goals and supports team decisions.
  • Basic proficiency in PC operations within a Windows environment, including working knowledge of Microsoft Office (Word, Excel, and Outlook), web applications, and database software.
