Front Desk Coordinator

The Alcoholic Rehabilitation Services of Hawaii, Inc. is seeking a highly organized and detail-oriented Front Desk Coordinator to join our team. As the first point of contact for clients and visitors, this role is critical to the smooth operation of our facility.
Key Responsibilities:- Ensure confidentiality of client identity and organizational documents
- Maintain accurate records of visitor/contact logs, client intakes, exit interviews, and other relevant documents
- Assist the clinical department in managing client belongings and restricting unauthorized items in the treatment setting
- Answer telephones, greet visitors, and announce visitors to the appropriate departments
- Maintain screening/assessment packets for the Intake Department
- Assist Admissions staff with assessments and scheduling client exit interviews
- Process incoming/outgoing mail and maintain postal meter machine
- Assist administrative and admissions staff with data entry, billing, copying, and distribution of memos and correspondence
- Manage waiting area activity level and assist clients as needed
- Maintain electronic files and check client insurance status
- Assist with maintaining waitlist and client chart closures and transfers
- Maintain lunch list, accept payments, and dispense lunch tickets
- Perform other related duties as assigned
- High school diploma or GED equivalent
- Typing skills of 40 wpm and clerical and data entry skills
- Previous experience with multi-line telephone system
- Knowledge of computer operations
- Excellent telephone skills and customer service skills
- Strong organizational skills
- Good written and verbal communication skills
- Ability to work in a fast-paced environment and manage multiple tasks simultaneously
- Ability to respond calmly and efficiently in stressful situations
- Ability to work as a team member within Hina Maukas philosophy
Light physical effort; occasional standing/walking. May be exposed to infectious and contagious diseases.
