Job Summary

The Alcoholic Rehabilitation Services of Hawaii, Inc. is seeking a highly organized and detail-oriented Front Desk Receptionist to join our team. As the first point of contact for clients and visitors, this role is critical in providing exceptional customer service and ensuring a smooth experience for all individuals interacting with our facility.

Key Responsibilities
  • Assure the confidentiality of client identity, organizational, and client-related documents.
  • Maintain accurate records regarding visitor/contact logs, client intakes, exit interviews, and other relevant documents.
  • Assist the clinical department in the management of client belongings to restrict unauthorized items in the treatment setting.
  • Answer telephones, greet visitors, and announce visitors to the appropriate departments, ensuring proper front desk coverage.
  • Maintain screening/assessment packets for the Intake Department.
  • Assist Admissions staff with assessments by helping potential clients complete assessment forms.
  • Schedule client exit interviews with Administrative Management.
  • Process incoming/outgoing mail, maintain the postal meter machine, and keep a monthly postage log.
  • Assist administrative and admissions staff with data entry, billing, copying, and distribution of memos and correspondence.
  • Manage waiting area activity levels and assist clients reporting for treatment as needed.
  • Maintain electronic files.
  • Check client insurance status.
  • Assist with maintaining waitlists.
  • Assist Clinical Admin with client chart closures and transfers.
  • Maintain lunch lists, accept payments, and dispense lunch tickets.
Requirements
  • High school diploma or GED equivalent.
  • Typing skills of 40 wpm and clerical and data entry skills.
  • Previous experience with multi-line telephone systems.
  • Knowledge of computer operations.
  • Excellent telephone skills and customer service skills.
  • Strong organizational skills.
  • Good written and verbal communication skills.
  • Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
  • Ability to respond calmly and efficiently in stressful situations.
  • Ability to work as a team member within Hina Maukas philosophy.
Physical and Mental Demands

Light physical effort; occasional standing/walking. May be exposed to infectious and contagious diseases.
