Job Purpose

The Procurement Specialist plays a vital role in the acquisition of technical products and services for the organization, ensuring that purchases are made from designated suppliers who meet the necessary demand, business, and quality standards. This position requires expertise in technical specifications and supplier assessment, which is essential for maintaining a streamlined supply chain and supporting the effective delivery of services to our clients. Responsibilities may also include negotiating with suppliers to ensure that goods and services are received according to agreed terms, maximizing value for the organization in terms of time and cost.

Roles & Responsibilities

SAFETY, SECURITY & COMPLIANCE

  • Ensures consistent application of the correct buy-to-pay channel regarding Purchase Orders and P-Cards.
  • Prepares and communicates reports on shortages and backlogs, providing visibility of potential disruptions to internal stakeholders.
  • Identifies process issues and proposes innovative solutions and corrective actions to enhance cost management related to supplies and suppliers.
QUALITY
  • Familiarizes with the company's Quality policies and actively participates in the compliance and enhancement of the Management System.
  • Maintains service quality as a top priority while collaborating across all business areas and continually seeks improvement opportunities.
OPERATIONS
  • Develops and maintains a thorough understanding of the technical specifications of procured products and services, collaborating closely with engineering teams to interpret technical drawings and requirements.
  • Reviews purchase requisitions from Operations and/or Manufacturing branches, seeking clarification and necessary information, including technical specifications and required delivery dates.
  • Sources requested parts/services according to required specifications, utilizing existing inventory and contract pricing where applicable, and requesting quotes from suppliers.
  • Evaluates supplier responses for accuracy, pricing, and delivery requirements, employing competitive bidding strategies to achieve optimal quality and cost.
  • Manages Purchase Orders by creating new orders, communicating valid Purchase Orders to branches and suppliers, and monitoring changes affecting order accuracy and delivery dates.
  • Acts as a liaison between suppliers and Source to Pay functions to resolve issues impacting timely payments, including invoice disputes and payment term resolutions.
  • Facilitates supplier contract negotiations as needed and participates in supplier review processes to build relationships with key strategic suppliers.
  • Ensures efficient use of company systems, tools, and reports while supporting supplier base rationalization in collaboration with Sourcing and Category Management.
  • Reports supplier non-conformances and follows up until resolution, utilizing material planning reports to assess supply requirements.
  • Determines supplier relationship needs based on transaction types to enhance on-time delivery and overall performance.
  • Ensures compliance with Sarbanes-Oxley by documenting and processing transactions appropriately.
COMMUNICATION
  • Maintains effective communication with all key stakeholders, both internal and external as appropriate.
  • Contacts vendors, places orders, verifies supplies, manages requisitions, and communicates with suppliers regarding expected delivery dates and potential delays.
FINANCIAL
  • All employees are accountable for financial responsibility, whether managing a function budget or their own expenses.
  • Costs incurred should remain within approved budgets and processed in accordance with relevant financial policies.
  • More senior roles will identify opportunities to reduce total cost of ownership and collaborate with Supply Chain Leaders to develop implementation plans.

Experience & Education

REQUIRED
  • Bachelor's degree from an accredited university (or equivalent experience) and 6+ years of experience in Supply Chain.
  • Prior experience in planning, purchasing, and material optimization.
  • Experience in procurement, supply chain, planning, or material management roles.
  • Entry-level candidates may have relevant experience in commodity-specific fields.
PREFERRED
  • Certified Purchasing Professional (CPP) or Certified Supply Chain Professional (CSCP).
Knowledge, Skills & Abilities

REQUIRED
  • Solid understanding of Material Resource Planning and Demand Resource Planning.
  • Good knowledge of Procurement processes, Industry Standards, and Supplier Management.
  • Strong analytical, negotiation, and communication skills with the ability to influence.
  • High attention to detail and accuracy.
  • Proficient in MS Office suite, particularly advanced Excel skills.
  • Ability to work effectively under pressure and manage multiple tasks while meeting deadlines.
  • Flexibility to adapt to a constantly changing environment and operational requirements.
  • Proficiency in English and potentially other relevant languages.
Travel Requirement:

This role may involve domestic and potentially international travel of up to 10-25%.
