Office Coordinator

We are seeking a highly organized and detail-oriented Office Coordinator to join our Communications team at IPS Recovery. As an Office Coordinator, you will play a vital role in the smooth operation of our office, ensuring seamless communication with our partners and delivering exceptional care to our clients.
Key Responsibilities- Communication Management
- Manage and prioritize email and phone communications with IPS Recovery's partners.
- Ensure timely and professional responses to inquiries, requests, and follow-ups.
- Act as the primary point of contact for our partners, addressing their inquiries and providing timely responses to their needs.
- Data Management
- Run and upload data reports accurately and on time.
- Maintain and update databases with relevant information.
- Appointment Scheduling
- Schedule and manage appointments for partners, ensuring proper coordination and preparation.
- Maintain an organized calendar to avoid scheduling conflicts and optimize time management.
- Experience
- Proven experience in an administrative or medical office coordination role.
- Strong background in handling email and phone communications professionally.
- Experience with data reporting and management is preferred.
- Demonstrated knowledge of HIPAA regulations and experience handling sensitive information in compliance with HIPAA.
- Skills
- Excellent organizational and multitasking skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong written and verbal communication skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Attributes
- Detail-oriented with a proactive approach to problem-solving.
- Ability to work independently and as part of a team.
- Capable of managing multiple priorities in a fast-paced environment.
Hybrid Schedule
- In Office: MTR

- 8:00 AM - 5:00 PM
