Job Summary

We are seeking a highly skilled and experienced Senior Practice Assistant to join our Orthopaedics team at Brigham & Women's Hospital (BWH). As a key member of our team, you will be responsible for providing exceptional support to our providers and staff, ensuring an efficient, high-quality, and safe experience for patients, providers, and staff.

Key Responsibilities
  • Perform a wide range of duties related to building provider scheduling templates and analyzing template management workflows and auditing to support the governance of template features within Orthopaedics.
  • Manage work queues and patients through BWH Connection, performing hands-on scheduling for local needs.
  • Provide support to Orthopaedics to ensure an efficient, high-quality, and safe experience for patients, providers, and staff.
  • Utilize ACD lines to schedule patient appointments in an expedient and professional manner, adhering to service level standards.
  • Provide excellent customer service, ensuring customer satisfaction and compliance with departmental and service standards.
  • Collaborate with project team members to resolve discrepancies with decision trees and templates.
  • Train staff on the MGB Orthopaedic Decision Tree and BWH Ortho Spine Decision Tree to ensure accurate scheduling.
  • Monitor and execute centralized local work queues for BWH Orthopaedics, daily.
  • Manage TELEVOX and daily work queues, complete and assign bump/rescheduling patients, and perform MD and Physician Assistant template management.
Requirements
  • Minimum of a high school diploma or GED.
  • Minimum three years medical office or administrative support experience required.
  • Some additional training in office systems or other post-high school education preferred.
  • Associate's Degree or higher level education preferred, but not required.
  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Highly proficient in all communication skills (phone, verbal, and written).
  • Ability to handle sensitive information and situations with poise and professionalism.
  • Strong organizational, coordination, and judgment skills.
  • Ability to prioritize effectively and manage multiple tasks.
  • Advanced computer skills.
  • Ability to problem-solve and troubleshoot.
  • Understanding of the appropriate use and importance of related forms.
  • Advanced understanding and use of medical terminology.
  • Advanced comprehension of insurance types and referral process.
  • Knowledgeable and compliant with all hospital, State, and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.
