Job Summary

American University is seeking a highly skilled and organized Senior Administrative Assistant to join our team. This role will provide administrative support to the Chair and Program Directors of the Health Studies Department, ensuring the smooth operation of the department's administrative functions.

Key Responsibilities
  • Main Office Administration: Provide exceptional customer service to visitors, respond to inquiries, and maintain department supplies.
  • Events and Programming: Schedule events, make travel arrangements, and arrange honoraria for guest speakers.
  • Communication: Monitor email accounts, oversee program newsletters, and represent the department to the AU community.
  • Budget and Personnel Management: Process student and part-time employment paperwork, submit disbursement requests, and authorize expenditures.
  • Course Scheduling: Build course schedules, prepare paperwork, and monitor class enrollment.
  • Faculty Affairs: Work with the Faculty Coordinator on payment authorizations and maintain application files.
  • Student Affairs: Assist with student advising, process paperwork, and manage clearances for graduation.
Requirements
  • High school diploma or equivalent.
  • 1-3 years of relevant experience.
  • Excellent written and oral communication skills.
  • Proficient in Microsoft Office Suite.
Preferred Qualifications
  • Bachelor's degree or equivalent.
  • 2-4 years of relevant experience.
  • Previous experience in maintaining a budget.
