Job Summary

Rockhurst University and the St. Luke's College of Nursing and Health Sciences are seeking a highly skilled Administrative Assistant to support the Purchasing, Budgeting, Accreditation, and Compliance functions within the college. This role will provide vital support to SLCNHS Administrators, Faculty, Staff, and Students, requiring strong organizational, analytical, and communication skills.

Key Responsibilities
  • Reconcile and maintain budget reports for all budgets within the college, ensuring accuracy and timeliness.
  • Manage invoices, payment, and budget processes, prioritizing conflicting needs and meeting deadlines.
  • Complete quarterly budget reviews and meet with associate deans and dean to review budget status.
  • Manage supplemental funds, track and reconcile spending, and submit receipts for reimbursement.
  • Provide support to the dean and associate dean through budget reporting, purchasing, accreditation, and compliance confirmation.
  • Maintain Professional Development spending spreadsheets and track adjunct faculty spending.
  • Manage credit cards for the School of Nursing and Dean, overseeing ordering of supplies for the entire college.
  • Prioritize tasks, handle matters expeditiously, and follow through on projects to successful completion.
  • As requested, gather and prepare data for reports that may be confidential and time-sensitive.
  • Manage time-sensitive TB and insurance tracking for the Dean of Students and schedule meetings as assigned.
  • Oversee renovation of space and college-wide projects, working collaboratively with NHS Administrative Assistants.
  • Track and organize payment of stipends for the college and assist with accreditation for all accredited programs.
Requirements
  • Bachelor's degree in a related field required.
  • 2 years of experience required.
  • Excellent Excel abilities and strong organizational, analytical, planning, interpersonal, written, and oral communication skills.
  • Ability to interact professionally with a diverse group of individuals and effective project management skills.
