Role Responsibilities:

The Operations Team Lead plays a pivotal role in managing substantial client accounts, possessing a comprehensive understanding of client objectives and workflows. This position involves overseeing crucial timelines and deliverables while offering insights on staffing related to scoped work and financial matters.

Your Contributions:

  • Oversee the entire lifecycle of financial deliverables, starting from project initiation, job code creation, SOW formulation, media allocation, to invoicing and ad hoc reporting.
  • Ensure timely monthly invoicing and adherence to client-mandated financial documentation, including client accruals and reconciliation requests.
  • Expertly create and follow client best practices concerning scoping, invoicing, and financial oversight, leading the enhancement of these processes.
  • Act as the primary contact for essential client deliverables on a daily basis.
  • Ensure the accuracy and completion of the financial deliverables calendar for both internal and client-related tasks.
  • Keep the internal team updated on job statuses through precise documentation and communication, including:
    • Drafting and updating billing calendars
    • Organizing financial deliverables
    • Routing materials for internal approval
    • Collecting data
    • Sending updates and reminders to the team
Scoping Responsibilities:
  • Develop comprehensive media statements of work.
  • Create all fee statements of work, including intercompany agreements.
  • Interpret Master Service Agreements (MSAs) effectively.
  • Facilitate the implementation of new processes across client accounts.
Qualifications:
  • A minimum of 3 years of experience in operations or project management within an agency environment, preferably in media.
  • Strong understanding of project management, scoping processes, and client financial obligations.
  • Basic knowledge of media planning and buying processes.
  • Proficiency in Microsoft Office Suite, especially MS Excel, along with expertise in tools such as SmartSheet and MS Teams.
