Procurement Support Specialist


The Procurement Support Specialist plays a crucial role in aiding the Director of Materials Management with the oversight and administration of the materials management functions.

This position involves processing orders and receiving supplies and equipment from various facilities, while implementing effective inventory management practices and providing customer service support for the department.

Additional related tasks may be assigned as needed. This is a non-exempt role.

KEY RESPONSIBILITIES

Procurement Support Core Duties

  • Maintains an accurate computerized inventory system by entering receipts, tracking items issued to departments, and managing adjustments, additions, deletions, and price changes.
  • Ensures accurate billing for requested supplies, adhering to facility and departmental policies for charge capture.
  • Generates labels for chargeable items and produces various reports while maintaining the item master file.
  • Assists in the approval process for special purchase request forms by liaising with the hospital administrator or designated personnel.
  • Facilitates orders with approved vendors based on special request forms, confirming pricing and availability.
  • Documents pricing and availability on special purchase request forms and routes necessary copies and purchase orders according to established purchasing policies.
  • Assists in the receipt of materials upon delivery, verifying quantities against packing slips and purchase orders.
  • Reports any discrepancies, such as shortages or damaged items, to the appropriate parties.
  • Delivers materials to the requesting departments as needed.
  • Manages outgoing mail and ships various packages for departments.
  • Supports the Director by assigning and prioritizing tasks for staff members.
  • Supervises staff in the absence of the Director and remains on call during that time.
  • Provides backup support for other departmental roles and oversees staff management in the absence of the manager.

Inventory Management Core Duties

  • Conducts monthly, annual, and special inventories as directed by the Director or corporate office.
  • Verifies shelf quantities against the existing database to ensure accuracy in supply charges.
  • Checks carts for accuracy prior to delivery and verifies return carts for usage.

QUALIFICATIONS

Education and Training: High school diploma or GED equivalent is required.

Experience: A minimum of two years in inventory control and hospital procurement is preferred. Proficiency in computer systems is advantageous. Training will be provided.
