Position Overview:
As a Procurement Agent, you will play a crucial role in supporting internal stakeholders by managing the procurement of goods and services, driving strategic sourcing initiatives, and ensuring cost efficiency. Key Responsibilities:

  • Understand and apply relevant Texas procurement laws, codes, and regulations.
  • Collaborate with internal clients to identify procurement needs and requirements.
  • Assist in contract management and vendor performance, including documentation and resolution coordination.
  • Review Purchase Requisitions for compliance with necessary forms and documents.
  • Ensure accuracy and clarity in Purchase Requisitions regarding terminology and specifications.
  • Work with internal teams to define scopes of work and specifications, considering commercial and regulatory factors.
  • Facilitate the creation of RF(x) documents, such as Requests for Proposals and Quotations, tailored to business unit needs.
  • Evaluate Exempt Forms to determine validity for deviations from competitive bidding processes.
  • Organize and lead meetings and site visits with suppliers and business units.
  • Promote local, diverse, and small business participation in sourcing events.
  • Coordinate the review of customized contract drafts with stakeholders to mitigate associated risks.
  • Review, modify, and negotiate supplier terms and conditions under management supervision.
  • Participate in contract award decisions with management oversight.
  • Prepare and distribute purchase orders to suppliers and relevant departments.
  • Maintain awareness of safety protocols in daily operations.
  • Address inquiries from customers and suppliers regarding order status and changes.
  • Manage purchasing files, reports, and price lists effectively.
  • Compare prices, specifications, and delivery timelines to identify the best supplier bids.
  • Track the progress of requisitions, contracts, and orders, and perform additional duties as required.
Preferred Qualifications:
  • Bachelor's degree in Supply Chain Management, Business, Finance, Accounting, Operations Management, or a related field, or equivalent experience in procurement or contract management.
  • Proficiency in Microsoft Office Suite, including word processing, spreadsheets, and presentation software.
  • Ability to work collaboratively in a team environment, coordinating efforts across various departments.
