About the Role

This position is part of the Business and Financial Services (BFS) team at The University of Texas at Austin, serving over 50 customer departments with expenditures exceeding $450 million annually. We deliver services in the fields of accounting, finance, warehousing, and procurement.

Key Responsibilities
  • Process account funding, contract maintenance, payment transactions, reconciliation, closeout, and reporting for construction and renovation project delivery units.
  • Prepare encumbrance, payments, correction vouchers, and funding via DEFINE/WEB, ensuring accuracy regarding object codes, amounts, accounts, and vendor setup.
  • Coordinate, create, update, and verify supporting documentation/data spreadsheets/tracking log/records for project management files and maintain accurate files on all projects.
  • Provide timely and reliable communication to project managers regarding project status, including funding, billing exception errors, and project close-out statements.
  • Post project funding and/or cost information to FAMIS, ensuring prompt and accurate billings to clients.
  • Perform final reconciliation and project close out after 60 days of the project being placed in ACCOUNTING status, reconciling accounts, lapsing funds, closing projects, and providing a final financial statement.
  • Apply applicable rules, regulations, and policies to ensure financial transactions are consistent with university policies and communicate with architects, engineers, directors, department heads, and deans regarding construction projects.
  • Attend meetings as the Department liaison to provide accounting expertise or to assist and answer any financial-related questions, and act as backup for co-workers.
Requirements
  • High school graduation/GED and demonstrated experience using a personal computer, including experience with Microsoft Excel, Microsoft Word, and Outlook.
  • Equivalent combination of relevant education and experience may be substituted as appropriate.
Preferred Qualifications
  • Bachelor's degree in accounting, business, or a related field.
  • More than 5 years of commercial accounting experience or equivalent area of complexity.
  • UT Austin experience desired, with proficiency in DEFINE.
  • Familiarity with UT Austin vouchering and accounting policies and procedures.
  • Experience processing web-based documents.
  • Experience with electronic accounting and work management systems.
  • Excellent problem-solving skills, customer service ability, written, verbal, and interpersonal communication skills.
  • Demonstrated ability to take initiative and work both independently and as a team member without day-to-day supervision.
  • Ability to multi-task and prioritize, work under pressure of deadlines, and maintain a high level of accuracy and attention to detail.
  • Excellent organization skills and demonstrated proficiency in gathering, analyzing, presenting financial data, and making recommendations.
  • Experience with accounts receivable and cash handling, providing customer service, and professional demeanor.
