Job Overview

Position Title: Executive Administrative Coordinator - Global Supply Chain (Hybrid)

Lakeshore Talent is collaborating with a prominent organization to fill a temporary Executive Administrative Coordinator position within the Global Supply Chain division. This role offers a competitive compensation rate and is projected to last for a minimum duration.

Work Setting: This is a hybrid role, necessitating in-office attendance at least three days per week, typically from Tuesday to Thursday, with flexibility based on business and team requirements.

Key Responsibilities:

  • Execute a diverse array of administrative functions for the Vice President, including managing a dynamic schedule, processing expense reports, drafting sensitive correspondence, organizing intricate travel arrangements, and preparing materials for travel-related meetings.
  • Support the coordination and refinement of communications for senior leadership, ensuring alignment with the overall objectives of the team and organization.
  • Facilitate the dissemination of important employee information (e.g., transfers, recognitions, anniversaries) to relevant stakeholders.
  • Research, prioritize, and follow up on sensitive or confidential matters directed to the Vice President, determining the appropriate course of action or response.
  • Independently oversee projects from initiation to completion, managing various activities and confidential issues with discretion.
  • Act as a communication conduit between the Vice President's office and internal departments, maintaining credibility, trust, and support with senior management and staff.
  • Monitor timelines and coordinate the completion of ongoing departmental initiatives.
  • Generate reports, facilitate team meetings, and may assist with the onboarding process.

Required Qualifications:

  • Bachelor's degree is preferred.
  • Experience in organizing meetings or events is highly desirable.
  • Expert proficiency in Microsoft Office Suite.
  • Strong communication, project management, and analytical skills.
  • Ability to manage confidential information with integrity and discretion.
  • Capacity to handle multiple tasks and projects independently with minimal supervision.
  • Exceptional organizational skills with a keen attention to detail and strong follow-through.
  • Adept at juggling multiple projects, adjusting priorities as necessary, and meeting deadlines.
  • Must be proactive, adaptable to changing business environments, and comfortable working across various time zones.
  • Professional, reliable, driven, and results-oriented with strong diplomatic skills.

Note: This role may require in-person interaction with suppliers while on-site.
