About the Role
We are seeking an experienced administrative professional to join our team as a High-Level Administrative Coordinator. In this role, you will provide high-level administrative support to our senior leadership team, including managing calendars, coordinating meetings, and preparing reports.
You will also be responsible for filing maintenance and archiving of important documents, serving as the administrative liaison to various teams and committees, and providing coordination of administrative functions with other staff members.
Responsibilities
- Manage Calendars/Timelines/Schedules/Meeting requests for Senior Leadership Team
- File Maintenance & Archiving of Important Documents (20%)
- Serve as the administrative liaison to various teams and committees (25%)- Prepare and send out meeting reminders and materials, take minutes and circulate agendas
- Prepare and set up for meetings, copy meeting materials, coordinate catering, AV needs
- Provide support for scheduling Outcome Team and Strategy Team Meetings (25%)
- Grant development associated functions (editing, portal maintenance, reporting as needed, etc.) (15%)- Convener Level Communications (Backbone happenings; Current/Planned Events; CMS's; etc.) (15%)
- Staff/HR Functions (scheduling of backbone activities; meeting agendas; administrative actions tied to performance measures, action items, PD, etc.) (10%)
- Organize travel (includes conferences, statewide meetings, planes, trains, and automobiles) for RTF staff
- Handle expenditures and receipts (general and travel) for reimbursement (5%)
Requirements
- College graduation or equivalent combination of experience and training
- 1 year of relevant administrative experience (preferred)
- Minimum of three (3) years prior administrative experience, including at least two (2) years working to support mid-to-high-level management OR equivalent combination of education and experience
- Must possess experience in accounts receivables and the ability to reconcile and maintain a working budget
- Must work well in a team, and independently with minimal supervision
- Extremely organized with great attention to detail and excellent grammar skills
- Ability to anticipate needs and possess a high degree of initiative to begin action independently, and take responsibility for follow through on actions
Benefits
We offer a competitive salary range of $45,000 - $75,000 per year, depending on experience. Additionally, we provide a comprehensive benefits package, including medical, dental, and vision insurance, retirement savings plan, and paid time off.
This is a full-time position, scheduled to work 40 hours per week. The ideal candidate will have excellent organizational and communication skills, as well as the ability to work effectively in a fast-paced environment.
