Position Summary:
We are seeking a highly skilled Senior Administrative Assistant for Same Day Services. This role will provide essential support to the Director, Department Chair, Site Chiefs, and the Leadership team. Key responsibilities include proactive calendar management, organizing meetings, attending and documenting meetings, managing document preparation, and overseeing supply procurement within the department.

Key Responsibilities:
  • Deliver administrative support with a commitment to high performance and professionalism.
  • Assist the Director, Chair/Chiefs, and Managers with proactive calendar oversight, communication strategies, and event coordination.
  • Arrange meetings as required and manage logistics for departmental gatherings.
  • Prepare organized resources such as itineraries, agendas, and meeting materials for upcoming engagements.
  • Utilize various software tools including Word, Excel, and PowerPoint to create presentations, reports, and other communications.
  • Maintain and distribute essential lists as necessary (e.g., organization charts, staffing lists, monthly reports).
  • Develop processes to enhance the efficiency of administrative tasks.
  • Support project management activities as requested by team leaders.
  • Post relevant documentation onto appropriate systems and communication boards.
  • Monitor and manage internal communications for team members, taking necessary actions as required.
  • Coordinate multiple projects involving various stakeholders.
Qualifications:
Required:
  • High school diploma or GED, or equivalent work experience.
  • Must be at least 18 years old.
  • Experience in coordinating large meetings, including virtual formats.
  • Intermediate proficiency in MS Office applications.
  • Expertise in Microsoft Outlook for calendar management.
  • Experience in preparing correspondence for diverse audiences with strong verbal and written communication skills.
  • Ability to manage multiple tasks and deadlines with attention to detail.
  • Experience in a large, matrixed corporate environment.
Preferred:
  • Experience in a fast-paced matrix organization.
  • 3+ years of administrative experience or experience supporting multiple executives in a dynamic environment.
