The Guest Relations Coordinator plays a vital role in ensuring a seamless experience for visitors at our establishment. This position involves a variety of responsibilities aimed at enhancing guest satisfaction and operational efficiency.
- Arrival Coordination: Upon guests' arrival, promptly inform the front desk or concierge about the scheduled arrivals.
- Visibility of Welcome Materials: Ensure that welcome signage is prominently displayed in the lobby area for easy visibility.
- Preparation of Welcome Letters: Prepare welcome letters by folding them and attaching personalized name stickers.
- Guest Assistance: Greet and assist guests as they arrive, providing a warm and inviting atmosphere.
- Information Sharing: Clearly communicate essential details such as guest names, room assignments, and luggage arrangements for the following day.
- Explanation of Services: Provide guests with information regarding luggage handling, breakfast locations, check-out procedures, and transfer services.
- Documentation of Special Requests: Note any special requests or circumstances in the comments section for future reference.
- Letter Distribution: For guests not met upon arrival, leave welcome letters with the front desk, including detailed instructions.
- Hours of Operation: Ensure completion of assigned working hours as per the schedule.
- Collaboration with Bell Staff: Coordinate with the bell staff to obtain the luggage pull list on the day of departure.
- Follow-Up: Reach out to guests who did not receive their welcome letters during check-in.
- Reconciliation: Verify luggage counts with the bell staff's records to ensure accuracy.
- Transfer Coordination: Contact guests who have not provided transfer details to ensure smooth logistics.
- Boarding Oversight: Monitor guests boarding transportation and communicate necessary information to the port contact.
- Local Knowledge: Familiarize yourself with the surrounding area and local attractions to assist guests with inquiries.
