Role Summary:

We are currently seeking an Administrative Specialist to deliver essential administrative support to our U.S. Government client. This role is crucial in ensuring the smooth operation of administrative functions.

Key Qualifications:

  • Associate's degree is mandatory.
  • Possession of an active DoD Secret Clearance is essential.
  • Proficiency in using DTS and TMT is required.
  • A minimum of three (3) years of relevant experience with DoD HQ or Federal HQ personnel is necessary.

Essential Responsibilities:

  • Demonstrate familiarity with federal government and military culture, including customs and agency-specific processes.
  • Effectively manage and organize calendars for senior leadership.
  • Plan, coordinate, and facilitate events as directed by the Government.
  • Ensure venues are secured prior to events by liaising with the appropriate coordinators.
  • Prepare presentations in the required formats within specified deadlines.
  • Develop comprehensive guides detailing support duties for various offices and divisions.
  • Field inquiries and visitors to the front office and respective divisions.
  • Draft and prepare correspondence, reports, memorandums, and presentations.
  • Review documents for accuracy and compliance with procedural requirements.
  • Assist with video teleconferences and manage SharePoint sites.
  • Monitor correspondence to ensure compliance with deadlines.
  • Conduct quality control reviews of all documentation to maintain high standards.
  • Maintain organized filing and record-keeping systems in line with approved guidelines.
  • Oversee the agency's Task Management Tool (TMT) in accordance with operational instructions.
  • Manage the Defense Travel System (DTS) for various divisions.
  • Support senior officials and stakeholders in addressing inquiries and concerns.
  • Provide mentorship and guidance to junior team members.
  • Assist with official ceremonies and presentations.
  • Exhibit proficiency in Outlook, Teams, Word, Excel, and PowerPoint.

Office Hours:

  • 0800 to 1700, Monday through Friday.
