Job Summary

Key Responsibilities
  • Welcome visitors to our facility and provide exceptional customer service
  • Complete clerical and administrative tasks for the dispatch department, ensuring seamless communication and coordination
  • Work closely with carriers to determine order delivery and confirm dates
  • Assist with accounting and AP functions, maintaining accurate records and ensuring timely payments
  • Support Sales in developing relationships with dealers and contractors, serving as a key point of contact
  • Enter order details into the system and forward them to the dispatch desk for confirmation
  • Update customer records with any changes and maintain accurate information
  • Assist the dispatch team as needed, ensuring efficient operations
  • Take calls and emails from customers, alerting the Sales team to any issues and providing timely resolutions
  • Provide certification documentation to dealers and maintain accurate records
  • Keep the Sales team informed about delivery dates and orders, ensuring seamless communication
Requirements
  • High school diploma or equivalent; a bachelor's degree is a plus
  • Proven experience as an Office Administrator, Office Assistant, or relevant role
  • Outstanding communication and interpersonal skills, with the ability to build strong relationships with clients and staff
  • Experience working in accounting or AP, with a strong understanding of financial processes
  • Excellent organizational skills, with a keen eye for detail and the ability to multitask
  • Proficiency in MS Office (Excel, Word, PowerPoint, etc.) and the ability to learn new systems quickly
  • Dependability and a strong work ethic, with a commitment to delivering high-quality results
