Client Services Representative

Job SummaryThe Client Services Representative is a critical role within our organization, responsible for facilitating patient access to care and ensuring seamless billing processes. This position requires excellent communication skills, attention to detail, and the ability to work independently with minimal supervision.
Key Responsibilities- Register patients and update demographic information in our electronic medical records system
- Schedule and reschedule appointments, including sending reminders and notifications
- Provide patients with necessary information and materials prior to their appointments
- Verify patient demographic information and insurance coverage
- Collect payment for co-pays and associated tasks
- Adhere to and inform patients of our No-Show policy
- Responsible for scanning current insurance and ID cards in eCW annually and when there is an update
- Obtain completed registration forms, general consent, and other necessary documents
- Label all scanned documents in eCW
- Provide patient-requested documents and facilitate correspondence
- Check patients in and out, schedule and reschedule appointments, and send reminders
- Perform claim data and verify medical insurance is active using the IE button in eCW
- Respond to assigned Telephone Encounters and provide information about Whitman-Walker services
- Associate degree or 2 years of equivalent work experience required
- 1-3 years of experience in a healthcare or call center environment preferred
- Fluency in medical terminology preferred
- 1 year of experience working with members of the LGBTQ+ community preferred
- 1 year of experience working with people living with HIV or issues related to HIV care preferred
This position requires normal office environment working conditions, with occasional evening and weekend shifts. Individuals may be required to work at organization events.
