Job Summary

The Client Services Representative is a critical role within Whitman-Walker, responsible for facilitating patient access to care and ensuring seamless billing processes. This position requires excellent customer service skills, attention to detail, and the ability to work independently with minimal supervision.

Key Responsibilities
  1. Register patients and update electronic medical records
  2. Schedule and reschedule appointments, including sending reminders
  3. Provide patients with necessary information prior to appointments
  4. Verify patient demographic information and insurance
  5. Collect payments for co-pays and associated tasks
  6. Adhere to and inform patients of No-Show policy
  7. Responsible for scanning current insurance and ID cards annually and when updated
  8. Obtain and scan completed registration forms and other necessary documents
  9. Label scanned documents in electronic medical records
  10. Provide patient-requested documents and facilitate correspondence
  11. Check patients in and out, schedule appointments, and send reminders
  12. Perform claim data and verify medical insurance
  13. Respond to electronic communication and telephone encounters
  14. Provide information about Whitman-Walker services and community resources
  15. Order ASL and language interpreters as needed
  16. Provide patient portal access and directions
Requirements
  • Associate degree or 2 years of equivalent work experience
  • 1-3 years of experience in healthcare or call center preferred
  • Fluency in medical terminology preferred
  • Fluency in Spanish and/or Amharic required
  • 1 year of experience working with LGBTQ+ communities preferred
  • 1 year of experience working with people living with HIV or HIV-related issues preferred
Working Conditions

This role requires normal office environment working conditions, with occasional evening and weekend shifts. Individuals may be required to work at organization events.

Physical Demands

This position involves standing and sitting for long periods, with occasional lifting of up to 20 lbs. Visual concentration is required for extended periods on computer systems and telephone encounters.
