Job Summary

The Client Services Representative plays a vital role in our centralized patient-facing department, ensuring seamless access to care and facilitating billing processes. This role requires excellent communication skills, attention to detail, and the ability to work independently with minimal supervision.

Key Responsibilities
  • Register patients and update electronic medical records
  • Schedule and reschedule appointments, including sending reminders
  • Provide patients with necessary information and materials prior to appointments
  • Verify patient demographic information and insurance, updating records as needed
  • Collect payments and inform patients of balance and payment options
  • Adhere to and communicate our No-Show policy, offering solutions and alternatives
  • Scan and update insurance and ID cards annually and as needed
  • Obtain and scan completed registration forms, consent documents, and other necessary paperwork
  • Label and organize scanned documents in electronic medical records
  • Provide patient-requested documents and facilitate correspondence
  • Check patients in and out, schedule appointments, and send reminders
  • Perform claim data and verify medical insurance using electronic systems
  • Respond to electronic communication, including telephone encounters and patient portal access
Requirements
  • Associate degree or equivalent work experience required
  • 1-3 years of experience in healthcare or a call center preferred
  • Fluency in medical terminology and HIPAA laws and regulations preferred
  • Ability to work independently, manage time effectively, and prioritize tasks
  • Excellent communication and customer service skills
  • Ability to maintain confidentiality and handle sensitive information
Working Conditions

This role requires normal office environment working conditions, with occasional evening and weekend shifts. The ability to lift up to 20 pounds and stand/sit for long periods is necessary.
