Position Overview

This role is fully onsite.

The Healthcare Operations Supervisor at Mass General Brigham is responsible for overseeing the daily functions of the medical simulation center, ensuring effective management of the team of Simulation Specialists and support staff. This center serves as a multidisciplinary hub for medical education, assessment, and research, affiliated with a prestigious teaching hospital.

Operational Responsibilities

  • Direct the Simulation Specialists to prioritize tasks and ensure adherence to quality standards and timelines.
  • Step in as a simulation specialist when necessary, based on staffing needs and course demands.
  • Collaborate with staff to assess and define the requirements for potential internal and external training programs, including logistics, supplies, and staffing needs.
  • Lead and facilitate the preparation and execution of all simulation initiatives, coordinating with administrative personnel, faculty, and other essential contributors.
  • Manage the organization, storage, and archiving of all center assets, inventory, and maintenance records.
  • Ensure that all equipment and supplies are maintained in an orderly and functional state at all times.
  • Develop and uphold technical expertise in the operation, maintenance, and troubleshooting of simulation platforms and related equipment.
  • Maintain relationships with vendors to address equipment issues and forecast needs for hardware and software updates.
  • Participate in external simulation contracts and consulting, which may involve travel for operational system implementation strategies.

Administrative Duties

  • Contribute to the leadership team to develop strategic and operational plans that align with the center's mission and objectives.
  • Recruit and oversee Simulation Specialists, including training, scheduling, performance evaluations, and professional growth.
  • Work with staff on the development and maintenance of the learning management system.
  • Facilitate weekly Operations Team meetings.
  • Manage the center's calendar in collaboration with educational leadership.
  • Assist in revising the Policies and Procedures Manual under the guidance of the administrative leadership.
  • Update and maintain the Operations training manual to instruct staff on simulator and equipment usage.
  • Act as the primary timekeeper for the Operations Team's paid employees.
  • Support accreditation applications in collaboration with center staff.
  • Conduct tours of the center for visitors.
  • Oversee facility maintenance using internal or external resources as needed.
  • Assist with construction projects as directed by leadership.
  • Support research initiatives as designated by the research leadership.
  • Perform additional related tasks as assigned.

Educational Contributions

  • Engage in and support various educational programs related to simulation operations for staff and external participants.
  • Ensure proper orientation for faculty and users regarding operational aspects of simulation program development.

Financial Management

  • Serve as the main contact for supply ordering for simulation and research programs.
  • Assist in monitoring departmental purchases and expenses.
  • Identify key stakeholders for capital purchases under leadership direction.
  • Advise on in-kind donation initiatives to reduce operational costs and enhance course offerings.

Qualifications

  • Bachelor's Degree preferred.
  • A minimum of three years of management or clinical operations experience in a healthcare environment, including personnel supervision.
  • Strong analytical, organizational, and interpersonal skills with a focus on customer service.
  • Extensive knowledge of medical terminology and office procedures.
  • Experience in simulation center operations is preferred.
  • Ability to communicate effectively and solve problems.
  • Exceptional interpersonal skills to engage with a diverse range of individuals.
  • Attention to detail and strong decision-making abilities.
  • Capacity to maintain composure in high-pressure situations.
  • Ability to foster teamwork while also working independently.
  • Basic financial and accounting skills.
  • Strong judgment skills to manage multiple tasks and set priorities.
  • Proficient in computer applications, including Microsoft Office and teleconferencing platforms.
  • Willingness to work outside standard business hours as needed.
