Key Responsibilities:
- Manage all facets of branch transactions, including Accounts Payable, Job Costing, Invoice Processing, Overhead Costs, and Accounts Receivable.
- Thoroughly review invoicing details of completed tasks prior to initiating the invoicing process.
- Generate, dispatch, and collect all customer invoices efficiently.
- Engage in the renewal procedures for agreement-based services.
- Examine new agreements, verifying customer assets, associated service products, and labor requirements for each contract.
- Assess agreement profitability and alert management to contracts that require a detailed review due to changes in scope or pricing.
- Provide administrative guidance and oversight to both operations and field personnel.
- Oversee resource allocation, workforce management, and scheduling activities.
- Initiate service requests and coordinate on-call rotations for emergency breakdown responses.
- Arrange for subcontracted services and equipment rentals as necessary.
- Ensure effective organization and management of the office environment.
- Maintain accurate records and data regarding inspections and preventative maintenance services.
- Review customer reports for precision and completeness.
- Collaborate with sales and operations teams to meet or exceed customer expectations regarding service quality and performance.
- Work closely with the operations team and technicians to implement and uphold company safety policies and procedures, ensuring a safe working environment for all employees.
- Perform additional duties as assigned.
Qualifications:
- Knowledge: A minimum of 5 years of relevant industry experience or a customer service background, or a combination of education and experience demonstrating a successful track record in this field is preferred.
- Skills:
- Proficient in Microsoft Office Suite, including Outlook, Excel, and Word.
- Experienced in utilizing CRM software.
- Familiar with administrative and clerical procedures.
- Excellent interpersonal skills to effectively engage with customers, sales personnel, and internal teams.
- Able to thrive in a dynamic environment where quick responses are essential, particularly concerning quotes and delivery timelines.
- Strong verbal and written communication skills.
- Meticulous attention to detail.
- Solid understanding of structural, electrical, and mechanical trades is highly preferred.
- Comprehensive knowledge of safety procedures and regulatory requirements.
- Ability: A commitment to delivering outstanding customer service. A valid driver's license and the ability to meet driving requirements are essential.
