Senior Maintenance Planner / Scheduler

Job Overview: The Senior Maintenance Planner is tasked with managing the maintenance parts inventory, processing purchase orders, and ensuring effective supply chain operations for maintenance-related materials. This role plays a crucial part in coordinating and scheduling maintenance tasks to optimize equipment functionality and reduce downtime. The planner will work closely with vendors and various departments to effectively plan and execute maintenance schedules while also monitoring inventory levels and managing procurement documentation to support the seamless operation of the maintenance department.

Key Responsibilities:

Inventory Oversight: Maintain precise records of maintenance parts inventory, including stock levels, usage rates, and reorder thresholds. Conduct regular inventory audits to ensure accuracy and address any discrepancies. Assist in the development and implementation of inventory control strategies to optimize stock levels and minimize excess or insufficient inventory. Purchase Order Management: Create purchase orders based on requisitions, maintenance schedules, and inventory assessments, ensuring timely and accurate procurement of necessary parts and materials. Collaborate with maintenance and procurement teams to validate purchase requisitions, specifications, and pricing prior to issuing orders. Track order status, monitor deliveries, and liaise with vendors to ensure timely receipt of materials, addressing any issues that may arise. Vendor Coordination: Maintain a comprehensive database of approved vendors, including contact details, terms, and negotiated agreements. Work with the procurement team to assess vendor performance, negotiate contracts, and establish relationships with reliable suppliers to ensure cost-effective procurement. Documentation and Record Maintenance: Keep organized and current records of purchase orders, receipts, invoices, and other procurement-related documents. Assist in the management and organization of maintenance manuals, technical documents, and part specifications for easy access and reference. Generate reports on maintenance performance, analyze key performance indicators (KPIs), and provide recommendations for process improvements to achieve maintenance objectives. Reporting and Data Analysis: Produce regular reports on inventory levels, purchase order statuses, and spending trends to support informed decision-making and enhance procurement processes. Analyze purchasing data to identify cost-saving opportunities and areas for process enhancement. Planning and Scheduling: Monitor all maintenance activities under the supervision of the Maintenance Manager and develop an efficient maintenance schedule to ensure timely execution of preventive, predictive, and corrective maintenance tasks. Collaborate with maintenance, production, and procurement teams to prioritize maintenance work orders based on equipment criticality and resource availability. Work with engineering and reliability teams to analyze equipment performance data, identify trends, and formulate proactive maintenance strategies to improve equipment reliability and minimize failures. Prepare detailed work packages, including job plans, resource requirements, safety procedures, and necessary documentation to facilitate effective maintenance execution. Utilize computerized maintenance management systems (CMMS) to input, track, and manage maintenance data, including work orders, equipment history, and maintenance schedules. Conduct regular evaluations of maintenance processes and procedures to identify improvement opportunities and implement best practices to enhance overall maintenance efficiency. Collaborate with the Health, Safety, and Environment (HSE) team to ensure compliance with safety regulations and promote a safe working environment for maintenance personnel. Provide guidance and support to maintenance technicians and operators regarding maintenance procedures, work order priorities, and safety protocols.

Qualifications and Skills:

Bachelor's degree in engineering or a related field, with additional education in inventory management preferred. Proven experience in a similar role, ideally within an industrial or manufacturing setting. Strong proficiency in computerized inventory management systems and procurement software, as well as computerized maintenance management systems (CMMS). Detail-oriented with excellent organizational, analytical, problem-solving, and numerical skills. Effective communication skills and the ability to collaborate with cross-functional teams and external vendors. Knowledge of procurement processes, inventory control, industrial standards, and regulations related to maintenance, along with basic accounting principles. Ability to work independently and manage multiple tasks with a high level of accuracy and efficiency. Strong understanding of maintenance best practices, equipment reliability, and safety procedures.
