Position Overview

The Administrative Assistant plays a crucial role in maintaining the integrity of data and documentation within the organization. This position is essential for ensuring compliance with both company policies and Department of Labor regulations.

Key Responsibilities
  • Data Compliance: Ensure that all OA/CTS data and documentation adhere to DOL and company policies.
  • Auditing: Conduct audits of student records, reporting any integrity issues directly to the Center Director and Finance and Administration Director.
  • Process Improvement: Analyze integrity processes within the OA/CTS Department and propose enhancements.
  • Administrative Support: Provide necessary administrative and technical assistance to various departments.
  • Project Coordination: Assist in coordinating special projects and offer support to other departments as needed.
  • Integrity Guidelines: Follow all integrity protocols to prevent any manipulation of student data.
  • Weekly Audits: Perform weekly audits of OA/CTS data and systems to ensure compliance.
  • Documentation: Document audit findings and prepare reports according to established timelines.
  • Training: Deliver data integrity training to staff to enhance their understanding of DOL and company policies.
  • Research and Reporting: Conduct research, prepare statistical reports, and manage clerical tasks such as documentation maintenance and correspondence preparation.
  • Deliverables Management: Ensure timely submission and tracking of all OA/CTS contract deliverables and correspondence.
  • System Maintenance: Maintain various Job Corps/Company systems and libraries.
  • Work Environment: Ensure that the workspace is organized, clean, and conducive to success.
  • Monitoring: Monitor and follow up on the DIG Report section of the management module.
  • Quality Assurance: Produce high-quality work in a thorough and timely manner.
  • Attendance and Accountability: Maintain appropriate attendance and productivity standards.
  • Task Management: Plan and prioritize assignments to meet goals and deadlines.
  • Job Knowledge: Apply job knowledge effectively to fulfill responsibilities and maintain necessary skills.
  • Mentorship: Mentor and model Career Success Standards as required.
  • Student Supervision: Provide quality supervision and management for the student population, fostering a respectful environment.
  • Collaboration: Work collaboratively with staff from all departments to ensure effective services for students.
  • Flexibility: Accept direction from the Center Director/Site Director and adapt to temporary assignments as needed.
  • Additional Duties: Perform other duties as assigned.
Qualifications
  • Associate of Arts Degree from an accredited institution is required.
  • Bachelor's Degree from an accredited institution is preferred.
  • A minimum of three years of experience in auditing and/or administrative support is required.
  • Proficiency in Microsoft Office Suite is essential.
