Fleet Operations Administrator

Virtual is seeking a highly organized and detail-oriented Fleet Operations Administrator to join our team. As a key member of our fleet operations department, you will be responsible for ensuring compliance with Federal Motor Carrier Safety Administration (FMCSA) regulations and maintaining accurate records of driver hours, vehicle information, and fuel data.

Key Responsibilities:
  • Provide analysis on fleet-related operational and regulatory data using internal and third-party sources.
  • Maintain and ensure compliance of Driver Qualification (DQ) Files in accordance with FMCSA regulations.
  • Assist with DataQ's inquiries and submissions.
  • Conduct and process Background Checks, communicating compliance with hiring standards to hiring managers.
  • Serve as fleet department technology coordinator, working with telematics and electronic toll devices.
  • Assist with the development of fleet-related presentations and forecasts.
  • Maintain safe practices at all times, including accident reporting and follow-up.
  • Assist with yearly vehicle renewals.
  • Expedites International Registration Plan (IRP) Licensing, renewals, replacement credentials, and special permitting.
  • Researches and communicates changes in state laws and requirements.
  • Maintain and ensure data integrity of driver hours, vehicle information, including fuel and mileage data.
  • Participate in special projects as assigned.
  • Knowledge and understanding of DOT Federal Motor Carrier Safety Regulations.
  • Serve as the Company DER (Designated Employer Representative), assisting in setting policy to comply with FMCSA and DOT regulations and guidelines.
  • Perform inquiries to the Clearinghouse for CDL holders.

  • Organization skills, detail-oriented, and ability to handle multiple priorities to meet required deadlines.
  • Ability to work in a fast-paced environment with a high level of attention to detail.
  • Ability to work independently in a team environment.
  • Proficient with Microsoft Office Word, Excel, PowerPoint.
  • Strong written, verbal communication, and analytical skills.
Preferred Qualifications:
  • Associate's or Bachelor's degree or equivalent work experience.
Reporting:

The Fleet Operations Administrator reports directly to the Director of Fleet Operations.

Employee Status: Non-Exempt.
