Fleet Operations Administrator Role

At Virtual, we are seeking a highly skilled Fleet Operations Administrator to join our team. The successful candidate will be responsible for providing analysis on fleet-related operational and regulatory data, utilizing both internal and third-party source information. This includes maintaining and ensuring compliance of Driver Qualification (DQ) Files in accordance with Federal Motor Carrier Safety Administration (FMCSA) regulation.

Key Responsibilities:
  • Provides analysis on fleet-related operational and regulatory data, utilizing both internal and third-party source information.
  • Maintains and ensures compliance of Driver Qualification (DQ) Files in accordance with Federal Motor Carrier Safety Administration (FMCSA) regulation.
  • Assists with DataQ's inquiries and submissions.
  • Conducts and processes Background Checks, communicating to hiring managers compliance with hiring standards.
  • Serves as fleet department technology coordinator, working with telematics, and electronic toll devices, etc.
  • Assists with the development of fleet-related presentations and forecasts.
  • Maintains safe practices at all times, including accident reporting and follow-up.
  • Assists with yearly vehicle renewals.
  • Expedites International Registration Plan (IRP) Licensing, renewals, replacement credentials, and special permitting.
  • Researches and communicates changes in state laws and requirements.
  • Maintains and ensures data integrity of driver hours, vehicle information, including fuel and mileage data.
  • Participates in special projects as assigned.
  • Knowledge and understanding of DOT Federal Motor Carrier Safety Regulations.
  • Serves as the Company DER (Designated Employer Representative), assisting in setting policy to comply with FMCSA and DOT regulations and guidelines.
  • Performs inquiries to the Clearinghouse for CDL holders.

Requirements:
  • Must have the ability to communicate effectively with all levels of employees, customers, and vendors.
  • Must have organization skills, detail-oriented, and ability to handle multiple priorities to meet required deadlines.
  • The ability to work in a fast-paced environment with a high level of attention to detail is required.
  • Ability to work independently in a team environment.
  • Proficient with Microsoft Office Word, Excel, PowerPoint.
  • Must have strong written, verbal communication, and analytical skills.

Reporting:
The Fleet Operations Administrator reports directly to the Director of Fleet Operations.
