Role Summary:

The Accounts Receivable Manager is responsible for overseeing and coordinating all activities related to accounts receivable, including invoicing, billing, customer onboarding, cash application, and credit management.

Key Responsibilities:

  • Lead and supervise the Rental Coordinator Supervisors to maintain consistent operational workflows across all rental divisions.
  • Implement continuous improvement strategies, establish annual objectives, and conduct performance evaluations.
  • Serve as the primary accounts receivable contact for key strategic clients.
  • Monitor incoming cash receipts and ensure timely application to customer accounts.
  • Generate customer statements and promptly resolve any billing discrepancies.
  • Oversee daily operations for the AR Team and Cash Application team, ensuring adherence to company policies.
  • Facilitate customer credit card transactions and manage remote deposits as necessary.
  • Investigate and resolve customer credit card disputes efficiently.
  • Prepare and deliver analytical reports on accounts receivable, including daily cash flow summaries.
  • Manage the order entry and invoicing processes to guarantee accurate and timely contract documentation.
  • Utilize reporting tools to improve contract management and invoicing practices, regularly reviewing AR aging and other performance metrics.
  • Assist the Finance department with audit preparation, compliance documentation, and budgeting forecasts.
  • Support daily customer credit operations.
  • Collaborate with the Credit Team on onboarding new clients.
  • Track and manage customer refunds, write-offs, and outstanding balances.
  • Verify sales tax exemptions for accuracy and maintain appropriate documentation.
  • Issue and monitor sales tax credit and debit memos.
  • Assist the Accounting Manager with accounts receivable and bank reconciliation tasks.
  • Complete additional projects and tasks as assigned by management.

Supervisory Responsibilities:

  • Directly manage the Accounts Receivable and Cash Application teams.
  • Indirectly oversee the Rental Coordinator Supervisors.
  • Engage regularly with regional staff, including various managerial roles and customer representatives.

Qualifications:

  • Bachelor's degree in a business-related field with 3-5 years of relevant experience; or an Associate's degree with 10+ years of experience in accounts receivable or order entry roles.
  • Thorough understanding of accounts receivable processes, particularly within rental operations.
  • Proficient in ERP systems and MS Office Suite or equivalent software.
  • Strong attention to detail and ability to work independently.
  • Exceptional multitasking abilities with a professional approach to diverse projects and challenges.
  • Willingness to travel up to 10% as needed.
  • Proficient in advanced Microsoft Word, Excel, and PowerPoint.
  • Strong analytical and problem-solving capabilities.
  • Excellent communication skills, both written and verbal.
  • Availability to work additional hours during peak periods as required.
  • Valid driver's license and reliable transportation.
  • Ability to successfully pass pre-employment background and drug screenings.
