Role Summary:

The Accounts Receivable Manager is responsible for overseeing and coordinating all activities related to accounts receivable, including invoicing, billing, customer setup, cash application, and credit memos.

Key Responsibilities:

  • Lead and manage the Rental Coordinator Supervisors to maintain consistent workflow across various rental divisions.
  • Implement continuous improvement strategies, establish annual objectives, and conduct performance evaluations.
  • Serve as the primary accounts receivable contact for key strategic clients.
  • Monitor cash inflows and ensure prompt application of payments to customer accounts.
  • Generate customer statements and resolve billing discrepancies efficiently.
  • Oversee daily operations of the AR Team and Cash Application team to ensure adherence to company policies.
  • Facilitate customer credit card transactions and manage remote deposits as necessary.
  • Investigate and address customer credit card disputes effectively.
  • Prepare and deliver analytical reports on accounts receivable, including daily cash inflow summaries.
  • Manage the order entry and invoicing processes to guarantee accurate and timely contract documentation.
  • Utilize reporting tools to improve contract management and invoicing processes, regularly reviewing AR aging and other performance metrics.
  • Assist the Finance department with audit preparation, compliance documentation, and budgeting forecasts.
  • Support daily customer credit activities and collaborate with the Credit Team on new customer setups.
  • Track and manage customer refunds, write-offs, and stale balances.
  • Verify sales tax exemptions for accuracy and maintain necessary documentation.
  • Issue and monitor sales tax credit and debit memos.
  • Assist the Accounting Manager with accounts receivable and bank reconciliation duties.
  • Complete additional projects and responsibilities as assigned by management.

Supervisory Responsibilities:

  • Directly manage the Accounts Receivable and Cash Application teams.
  • Indirectly oversee the Rental Coordinator Supervisors.
  • Engage regularly with regional staff, including various managerial roles and customer representatives.

Qualifications:

  • Bachelor's degree in a relevant field with 3-5 years of applicable experience; or an Associate's degree with over 10 years in accounts receivable or order entry roles.
  • Thorough understanding of accounts receivable practices, particularly within rental operations.
  • Proficient in ERP systems and Microsoft Office Suite or equivalent software.
  • Ability to work independently and with precision.
  • Strong multitasking capabilities to manage various projects and issues with professionalism.
  • Willingness to travel approximately 10% of the time.
  • Expertise in Microsoft Word, Excel, and PowerPoint, as well as ERP software.
  • Excellent analytical and problem-solving abilities.
  • Strong communication skills, both verbal and written.
  • Flexibility to work additional hours during peak periods as required.
  • Valid driver's license and reliable transportation.
  • Ability to pass pre-employment background checks and drug screenings.
