Position Overview
The Client Relations Specialist plays a vital role in managing and facilitating customer service inquiries, providing support to team members, and executing special projects as assigned by management. Key Responsibilities
- Responds promptly to incoming calls and addresses resident inquiries with professionalism and courtesy.
- Processes maintenance requests and ensures timely follow-up to confirm resolution of issues.
- Coordinates specialized resident services, such as mail collection and pet care.
- Maintains an updated directory of local amenities and services to assist residents.
- Tracks communication with residents, including follow-up and welcome calls.
- Organizes community events and functions, ensuring successful execution and resident engagement.
- Collaborates with marketing to prepare promotional materials for resident activities.
- Utilizes software to create newsletters and other communications for residents.
- Assists in maintaining key control and adheres to company policies regarding confidentiality.
- Develops relationships with local businesses to enhance resident services.
- Manages hospitality supplies within budgetary constraints.
- Operates property management software effectively and assists with leasing activities as needed.
- Addresses resident concerns and escalates issues to management when necessary.
- Performs additional duties as required, which may vary based on community size.
- Demonstrates professionalism, integrity, and confidentiality in all interactions.
- Strong written and verbal communication skills.
- Excellent time management and organizational abilities.
- Prior customer service experience in property management, hospitality, or related fields is preferred.
- Proficient in Microsoft Office Suite; familiarity with property management software is a plus.
- High School Diploma or equivalent is required.
The Client Relations Specialist operates on-site within a residential community, regularly interacting with residents, vendors, and internal teams. The work schedule is flexible and may include weekends, depending on community needs.
Physical Requirements
While performing the duties of this role, the employee may be required to stand, walk, sit, use hands, and occasionally lift up to 25 pounds. The ability to drive may also be necessary during work hours.
