The role of the **Supply Chain Invoice Specialist** is primarily administrative, focusing on a variety of tasks including the processing and auditing of Drop-Ship invoices received from manufacturers and suppliers on a daily basis. This position will also work closely with other Purchasing team members to ensure accurate information regarding manufacturers and suppliers, as well as item pricing and the addition of items necessary for invoice processing.

This position is based **on-site** at our headquarters.

Key Responsibilities:

  • Review each invoice for accuracy in delivery and pricing, including adherence to contract pricing.
  • Leverage product knowledge to quickly identify discrepancies in invoices and potential savings.
  • Rectify any inaccuracies in invoices and resubmit them to the appropriate manufacturers or suppliers.
  • Conduct end-of-day reconciliations against general ledgers to ensure precision.
  • Meet internal and customer deadlines while addressing and resolving all issues.
  • Maintain effective communication with customers and internal departments throughout the process.
  • Manage multiple requests simultaneously by prioritizing critical milestones.
  • Generate detailed invoicing reports for analysis and summarize findings.

Essential Skills:

  • Exceptional verbal and written communication abilities.
  • Preferred experience in pharmaceutical product knowledge.
  • Advanced skills in MS Office, particularly Excel (including Pivots and VLOOKUPs) and Word.
  • Experience collaborating across various departments and stakeholders.

Additional Qualifications:

  • Prior experience in accounts payable/receivable.
  • Background in the pharmaceutical or healthcare industry.
  • Ability to manage multiple projects with effective communication, organization, time management, and problem-solving skills.
  • Capability to work independently.
  • Strong analytical and data interpretation skills.
  • Familiarity with AS400 systems.

Educational Background:

  • A four-year college degree is preferred.
  • A combination of education and relevant experience is desired.
