Vintage Realty Corporation is in search of an Office Support Specialist to enhance the efficiency of the Commercial Property Management division. The Office Support Specialist will play a crucial role in delivering administrative assistance to various Property Managers within the organization. The ideal candidate will possess exceptional computer proficiency, demonstrate strong organizational skills, and manage multiple tasks and complex situations effectively.


Key Responsibilities and Skills:
  • Reception duties, including welcoming visitors and managing phone communications
  • Invoice reconciliation tasks
  • Addressing tenant inquiries
  • Monthly credit card reconciliation for designated Property Managers
  • Management of security access cards
  • Tracking and distributing lease documents (renewals and new leases)
  • Filing and document organization
  • Maintaining an office supplies inventory
  • Organizing filing cabinets (cataloging and archiving old files)
  • Updating tenant handbooks
  • Monitoring insurance compliance
  • Providing customer service and follow-up communications
  • Screening vendor applications
  • Managing key inventory
  • Assisting various Property Managers as required
  • Performing additional duties as assigned
Qualifications and Experience:
  • Minimum of one year of administrative experience
  • Familiarity with property management or a related sector
  • Ability to multitask and maintain organization in a dynamic environment
  • Outstanding communication abilities
  • Proficient in Microsoft Office Suite
  • Detail-oriented approach
