Human Resources Specialist

POSITION SUMMARY
The Human Resources Specialist plays a crucial role in executing and overseeing HR initiatives to support our workforce, clientele, and the overall objectives of the organization.

KEY RESPONSIBILITIES
General HR functions including, but not limited to, payroll processing, benefits management, HRIS upkeep, and leave of absence administration.
Recruitment
- Facilitates the recruitment process by identifying qualified candidates through diverse sourcing strategies.
- Achieves staffing objectives through interviewing, assessing, scheduling management interviews, and managing applicant data.
- Promotes internal staffing goals, including referrals and internal job openings.
Employee Records Management
- Maintains electronic filing systems, ensuring all employment documents are accurately updated in the HRIS.
- Assists in managing employee records and I9 documentation, including conducting audits.
Onboarding & Employee Engagement
- Oversees the onboarding process for new hires, ensuring compliance with I9 requirements and completion of necessary documentation.
- Coordinates orientation, training, benefits enrollment, and performance evaluations while participating in employee engagement activities.
Benefits Administration
- Addresses employee inquiries regarding onboarding and benefits, directing them to the appropriate HR personnel as needed.
- Informs employees about benefits eligibility, processes enrollment forms, and manages payroll deductions.
- Ensures timely updates in carrier portals and HRIS for benefits enrollment and payroll deductions.
- Guides employees through qualifying events and open enrollment processes.
- Maintains records for COBRA coverage and ensures continuity of benefits for terminated employees.
Payroll Management
- Collaborates with management to submit employee action forms for salary adjustments and ensures accurate payroll processing.
- Works closely with finance to ensure timely and precise payroll changes.
- Maintains Paylocity records and prepares payroll reports.
- Reviews and approves bi-weekly time cards and PTO requests.
- Conducts thorough payroll audits to confirm accuracy.
Employee Relations
- Advises managers on employee management practices.
- Provides guidance in training, counseling, and performance management.
- Facilitates performance improvement plans and oversees formal counseling processes.
- Assists in termination procedures, ensuring compliance with company policies.
- Conducts exit interviews when necessary.
Data Analysis
- Performs monthly audits of benefits enrollment and payroll data.
- Analyzes performance reviews and PTO usage to ensure timely processing and proper documentation.
- Maintains accurate coding in Paylocity for terminations and position changes to support business analysis.
Learning & Development
- Designs training programs that align with the organization’s strategic objectives and employee development needs.
- Creates engaging training materials and delivers sessions using various methods.
- Stays informed about the latest trends in learning and development.
Additional responsibilities and special projects may be assigned based on organizational needs.
QUALIFICATIONS
EDUCATION:
A degree in Human Resources or a related field is preferred.
SHRM or HRCI certification is advantageous.
EXPERIENCE:
Experience in a healthcare or insurance environment is preferred.
SKILLS:
Exceptional communication skills and a solid understanding of business operations are essential. The ability to think critically, manage time effectively, and meet deadlines is crucial. Proficiency in computer applications and typing skills are required.
WORKING CONDITIONS:
May involve lifting, bending, and prolonged periods of sitting and computer work.
REMOTE WORK REQUIREMENTS:
Must maintain reliable internet connectivity for remote work.
