Operations Manager Job Description

We are seeking an experienced Operations Manager to join our team at Pop-Up Talent. As an Operations Manager, you will be responsible for overseeing the smooth execution of wholesale distribution operations, leveraging vendors and third-party logistics (3PL) providers for warehousing and transportation.

Key Responsibilities:
  • 3PL Relationship Management: Serve as the primary liaison between the company product vendors, warehouse, and logistics providers. Negotiate service level agreements (SLAs) with vendors to ensure expectations are clearly defined and met, including accuracy, lead times, and delivery schedules.
  • Inventory Control & Management: Coordinate with the 3PL provider to ensure accurate inventory management, stock levels, and storage optimization. Implement processes for inventory reconciliation and resolve discrepancies with the 3PL.
  • Order Fulfillment & Customer Service: Oversee the order processing for vendors and customers, ensuring that customer orders are processed accurately and delivered on time. Monitor order processing timelines and work closely with the 3PL to resolve issues such as delays or inaccuracies in orders.
  • Logistics & Transportation Coordination: Work with the 3PL provider and vendors to ensure efficient transportation and distribution logistics. Optimize routes and delivery schedules, ensuring cost-effectiveness and on-time performance.
  • Performance Monitoring & Reporting: Track and analyze key performance metrics from vendors, including costs, order accuracy, inventory levels, fulfillment times, and delivery performance. Regularly review data to identify areas for improvement and work to implement solutions.
  • Cost Management: Monitor and control costs associated with product procurement, warehousing, inventory management, and transportation services. Identify opportunities to reduce costs, optimize warehouse usage, and improve transportation efficiency through better negotiation and operational processes.
  • Compliance & Safety: Ensure vendors comply with all relevant regulations, including safety, environmental standards, industry-specific and audit requirements. Regularly review the vendor compliance with contractual terms and product/service levels, taking action when necessary to correct non-compliance.
  • Technology & Systems Integration: Ensure seamless integration of the company's systems (e.g., QuickBooks) with vendor and client technology platforms to maintain real-time inventory and order status visibility. Work with vendors to troubleshoot and resolve any system-related issues impacting operations.
  • Supplier & Vendor Coordination: Manage relationships with product suppliers, negotiating costs and services and coordinate with the 3PL provider for receiving and storing goods. Ensure that the 3PL's receiving process is aligned with the company's expectations for stock management and that any receiving discrepancies are quickly resolved.
