We are currently looking for a dedicated Administrative Coordinator to support our operations at Paper Moon Painting, San Antonio Branch. As a reputable and expanding residential painting contractor, we value individuals who align with our mission and principles.

KEY RESPONSIBILITIES:

Client Relations:

  • Manage incoming communications and coordinate appointments for our sales personnel.
  • Ensure clients receive timely updates and excellent service through various communication channels.
  • Maintain ongoing communication throughout the project lifecycle to guarantee client satisfaction.

Project Coordination:

  • Collaborate with team members to assist in scheduling and project management.
  • Prepare necessary documentation prior to project initiation, including contracts and work orders.
  • Procure materials and equipment ahead of project commencement.
  • Facilitate communication with field teams regarding project status and adjustments.

Administrative Duties:

  • Oversee customer billing and accounts receivable.
  • Maintain organized electronic filing systems.
  • Manage inventory of office supplies.
  • Engage in special projects that involve problem-solving and research.
  • Coordinate company meetings and events.

Human Resources Support:

  • Administer the hiring process, including job postings and candidate interviews.
  • Facilitate onboarding for new employees and subcontractors.
  • Process payroll and manage time-off requests.

Sales Assistance:

  • Support the sales process by scheduling appointments and following up with leads.
  • Organize and maintain bid documentation for future reference.

QUALIFICATIONS:

  • Experience in administrative or operational roles, particularly in support of management.
  • Proven ability to oversee project timelines and resources.
  • Familiarity with technology and cloud-based software is essential.
  • Demonstrated success in achieving measurable outcomes.
  • Ability to pass background checks and drug screenings.

SCHEDULE:

  • Full-time position, 40 hours per week.
  • Standard working hours with a lunch break.

COMPENSATION:

  • Annual salary of $55,000.
