Hiring Information:
We are seeking a skilled and organized Administrative Assistant II to join our team at the Hays County Sheriff's Office. As an integral part of our office operations, you will be responsible for providing administrative support to our staff, ensuring the smooth day-to-day functioning of our office.

About the Position:
Estimated Salary: $38,155.00 - $39,300.00 per year

This position requires a high level of organization and attention to detail, as well as excellent communication and interpersonal skills. You will be responsible for performing a variety of administrative tasks, including scheduling appointments, coordinating travel arrangements, and preparing documents. You will also be expected to maintain accurate records, perform data entry tasks, and collaborate with other departments to ensure seamless workflow and effective communication.

Essential Responsibilities:
  1. Receives office visitors and telephone calls while answering routine inquiries and screening calls or callers.
  2. Takes messages and refers to appropriate County Sheriff's staff.
  3. Sorts and files forms, reports, correspondence, and related documents, including videos and DVDs.
  4. Schedules appointments, interviews clients/vendors when appropriate.
  5. Conducts research related to specific cases or situations.
  6. Analyzes complex data.
  7. Prepares documents for filing.
  8. Examines letters, forms, documents, or reports for accuracy and reports discrepancies to supervisor.
  9. Maintains records and files for the division.
  10. Codes, tabulates, and assembles statistical and related data.
  11. Gathers, collates, classifies, and posts information to department records and computer system.
  12. Collects fees, maintains fee collection records.
  13. Types standard forms, letters, and other materials from rough drafts.
  14. Assists with data entry as needed into the computer system.
  15. Operates office machines, including photocopiers and faxes.
  16. Picks up, sorts, and delivers mail, written materials, and supplies to various departments.
  17. Requisitions supplies and maintains various inventory records.
  18. Schedules appointments and keeps calendars.
  19. Ensures services delivered meet quality and timeliness standards.
  20. Communicates all changes and problems to supervisor.
  21. Performs other duties as assigned.


Required Education and/or Experience:
  • A high school diploma or equivalent required; two years of full-time experience in secretarial, office/clerical or related work preferred.


Other Qualifications, Certificates, Licenses, Registrations:
  • A valid Class C Texas driver's license required.
  • Bilingual (Spanish and English) preferred.
  • Notary Public may be required.
