Job Overview

GENERAL PURPOSE
The Clerical Technician 3 - Corrections is responsible for performing advanced clerical duties, ensuring procedural tasks are executed within the area of specialization. This role involves carrying out complex, multi-step processes that typically require the collection and verification of information, comparison against established standards, and assessment of compliance with requirements.


SUPERVISION RECEIVED
This position reports directly to the Corrections Coordinator or Administrator within the designated department.

SUPERVISION EXERCISED
This role does not involve supervising other employees or functions.

ESSENTIAL DUTIES
1. Responds to incoming calls, assisting callers or directing them to the appropriate department.
2. Addresses general inquiries from other County departments or correctional facilities.
3. Receives and processes incoming correspondence, referring it to the appropriate staff for further action if necessary.
4. Verifies the completeness of incoming correspondence and enters relevant information into the appropriate database.
5. Organizes and maintains filing systems for inmate records and other documentation.
6. Generates daily reports related to departmental functions.
7. Keeps daily logs of activities to ensure proper documentation.
8. Collaborates with other County departments to schedule inmate evaluations and related tasks.
9. Ensures confidentiality of inmates' personal information, including HIPAA protected data.
10. Inputs jail-generated paperwork and inmate evaluation results into the jail management system.
11. Processes inmate payroll for Work Release programs.
12. Prepares financial reports and manages bank deposits as required.
13. Schedules and organizes meetings, conferences, and hearings.
14. Provides assistance to other staff members as needed.

REQUIRED MINIMUM QUALIFICATIONS
EDUCATION & EXPERIENCE: High School diploma or equivalent; AND
At least two (2) years of general clerical experience in an administrative, professional, governmental, or judicial setting; AND
One (1) year of experience in a correctional environment is preferred.
Must maintain annual certifications in First Aid, CPR, and AED.

BACKGROUND INVESTIGATION: Candidates must pass a criminal history check as a prerequisite for appointment.

URINE DRUG SCREEN: Candidates must pass a urine drug screen as a prerequisite for appointment.

KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of clerical practices in corrections, accounting methods, and proficiency in Microsoft Office and jail management systems. Ability to interpret policies, schedule evaluations, and maintain confidentiality of sensitive information. Strong organizational skills and the ability to work independently and collaboratively.
TOOLS AND EQUIPMENT
Personal computer, telephone, calculator, copy machine, fax machine, scanner, and first aid equipment.

PHYSICAL DEMANDS
This role requires frequent standing, walking, sitting, and communication. The employee may occasionally lift up to thirty-five (35) pounds.

WORK ENVIRONMENT
Employees may be exposed to humid conditions and moderate noise levels while working in proximity to inmates.
