Job Overview:

The Event Coordination Manager plays a crucial role in achieving the objectives of assigned conventions and events, contributing to the overall success of the hotel. This position involves effectively managing client relationships and ensuring adherence to the agreed-upon food and beverage minimums.

Collaborating closely with the Director of Catering and Event Services, the Event Coordination Manager aims to fulfill the hotel's revenue goals, enhance meeting planner satisfaction, and meet food and beverage targets across designated properties.

Management-level professionals are expected to allocate the necessary time to fulfill their responsibilities; overtime may be applicable for certain positions.

Qualifications:

  • Relevant college coursework is advantageous.
  • Experience in the hospitality sector or a related field is preferred.
  • A High School diploma or equivalent is mandatory.
  • Proficiency in Windows operating systems is required.
  • Strong communication skills to convey information and ideas effectively.
  • Adept at quickly and accurately evaluating and selecting courses of action.
  • Capable of effective problem-solving under pressure.
  • Ability to maintain composure and objectivity in challenging situations.
  • Skilled in addressing workplace issues and resolving problems as necessary.
  • Capacity to assimilate complex information and data from various sources.
  • Good listening skills to address concerns raised by colleagues and guests.
  • Basic financial literacy and arithmetic skills.

Key Responsibilities:

  • Organize sales documentation in accordance with established standards.
  • Manage the Accounts Coverage Program effectively.
  • Engage proactively in client communications, site tours, and entertainment tailored to property needs.
  • Prepare monthly competitive analysis for the Director of Sales.
  • Complete and submit all month-end reports to corporate within specified timelines.
  • Handle contracts, proposals, and general correspondence for the sales team.
  • Prepare and distribute banquet event orders and invoices accurately and punctually.
  • Maintain an inventory of sales forms and promotional materials.
  • Assist with audits of the Delphi system and processing RFPs as directed.
  • Coordinate pre- and post-convention meetings effectively.
  • Communicate changes promptly to relevant departments.
  • Oversee and enhance email system efficiency.
  • Plan and execute special events, meetings, and conferences.
  • Ensure that rooms and displays meet client specifications.
  • Address complaints and foster goodwill.
  • Participate in system training as required.
  • Perform any additional duties as necessary.
