Role Responsibilities

As a Business Support Specialist, you will deliver a comprehensive business support service to the multi-site engineering operations team, ensuring high-quality, effective, and efficient management of daily business operations along with some human resources administrative tasks. This role will report to the Regional Engineering Operations Manager and will involve regular collaboration with our regional and central HR teams.

Your daily responsibilities may include:

  • Collaborating with our North American team of Business Support Specialists across the US and Canada to address site, team, and leadership requirements.
  • Maintaining precise accounting records for site/team expenditures.
  • Ordering office supplies and stationery for the team, ensuring timely deliveries and processing.
  • Coordinating team-building events and employee engagement activities.
  • Performing various office administration functions and special projects as needed.
  • Handling ad hoc administrative duties for site leadership as required.
  • Welcoming Ocado guests and visitors to the site.
  • Coordinating orientation and onboarding plans for new hires, liaising with the HR team to ensure completion of employment and payroll verifications.
  • Working with the Kroger/Sobeys HR team to orient new hires on-site and foster inter-team relationships.
  • Engaging with supporting teams, including Training, Supply Chain, HSE, and Central Engineering, to meet team and site needs.
  • Assisting with in-house health and safety tasks, reviews, and audits.
  • Coordinating basic health and safety policy orientation.
  • Collaborating with the technology team for desktop technology provision and partnering with site security and facilities management as needed.
  • Providing relevant information to the Payroll team for ad hoc payroll inquiries.
  • Ensuring compliance with mandated e-learning for employees.
  • Coordinating on-site interviews and proctoring assessments.
  • Supporting the Regional HR Business Partner in facilitating performance and pay review meetings, advising managers on utilizing employee engagement tools, and assisting with site communications.
  • Liaising with the HR team on employee inquiries, escalations, welfare events, and HR administration tasks.
  • Managing the internal communications calendar in collaboration with the Regional HR Business Partner.
  • Understanding and adhering to Ocado and regulatory privacy standards.

Candidate Profile

To be considered for the Business Support Specialist position, candidates should possess the following qualifications:

  • A bachelor's degree in business or a related field; four additional years of relevant work experience may substitute for a degree.
  • A minimum of 3 years of relevant experience is required.
  • 1-2 years of experience in human resources support is preferred.
  • Willingness to travel up to 25% as required by business needs.
  • Experience in a fast-paced, matrixed management environment is preferred.
  • Experience supporting hourly employees is essential.
  • Experience in the manufacturing, logistics, and/or warehouse sectors is preferred.
  • Proven ability to establish credibility and build relationships with employees at all organizational levels.
  • Additional experience in office environments, including administration, facilities management, finance, and/or health and safety is preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • A proactive, pragmatic, and creative approach to problem-solving.
  • Ability to work independently with minimal supervision.
  • Comfortable collaborating with peers remotely and across various site locations.

Physical Requirements:

  • Ability to ascend or descend ladders and stairs.
  • Frequent movement to the Engineering workshop.
  • Capability to navigate between worksites in tight and confined spaces.
  • Ability to remain stationary for extended periods, either standing or sitting.
  • Capacity to adjust or move objects weighing up to 30 pounds in all directions, with potential for heavier items.
  • Effective communication skills for information exchange.
