Job Summary

TEKsystems is seeking a highly organized and detail-oriented Mail/Facilities Assistant to provide exceptional support to our team.

Key Responsibilities

As a Mail/Facilities Assistant, you will be responsible for ensuring that all facilities-related services are performed at a high level, exceeding client expectations. Your duties will include:

  • Ensuring that internal and external clientele, vendors, and service providers receive a high level of service.
  • Meeting and greeting visitors, receiving incoming mail, and ensuring timely outgoing mail delivery.
  • Coordinating building maintenance, procurement of supplies, and upkeep of operational trackers.
  • Working with the Facilities Supervisor and Coordinator to maintain Purchase Orders.
Daily Tasks

Some of your daily tasks will include:

  1. Performing daily duties as assigned by the Facilities Supervisor/Coordinator.
  2. Maintaining a high level of cleanliness in all spaces, impacting employee, vendor, and visitor experience.
  3. Conducting daily site walkthroughs to validate work orders and generate new ones as needed.
  4. Responding to email requests for building maintenance and general correspondence in a timely manner.
  5. Providing support for conference room maintenance, usage, and scheduling.
  6. Ensuring the reception area is kept at a high level of maintenance, with adequate supplies and equipment.
  7. Issuing badges to vendors and visitors via the system and clearing them to enter all spaces.
  8. Reporting inconsistencies to the Lead Facilities Coordinator for corrective measures.
  9. Ordering breakroom supplies on a timely basis and maintaining inventory.
  10. Maintaining a sufficient inventory of office supplies for smooth operation and management.
  11. Receiving incoming USPS mail, FedEx, and UPS packages, and distributing outgoing mail while maintaining a current log.
  12. Intaking work orders and performing other duties as required to support operational effectiveness and efficiencies.
  13. Ensuring the reception area is kept at a high level of cleanliness and organization at all times.
