Position Summary:
The Area Vice President will oversee a team of up to six Regional Managers. This role is accountable for the management and compliance of the designated portfolio. The successful candidate will drive value through effective leadership, financial acumen, and innovative business strategies. Collaboration with management across the organization is essential to ensure that RPM's strategic objectives and values are met.

Key Responsibilities:

TEAM LEADERSHIP

  • Responsible for the recruitment and selection of candidates for properties within their portfolio. All site-level positions must receive approval from the supervising Regional Manager, and both the Regional Manager and Area Vice President must interview all Community Manager candidates.
  • Facilitate regular team meetings with Regional Managers and participate in occasional site-level meetings.
  • Conduct one-on-one meetings for coaching, conflict resolution, goal setting, quarterly check-ins, and annual evaluations with direct reports.
  • Manage human resources issues.
  • Oversee onboarding, training, and mentoring of team members.
  • Perform monthly site visits to each community, engaging with team members and inspecting properties.

CLIENT RELATIONS

  • Participate in and contribute to client calls on a weekly, bi-weekly, or monthly basis.
  • Engage in unscheduled client communications via calls, texts, or emails during business hours.
  • Prepare for client visits alongside the Regional Manager and onsite team members, assisting in setting agendas, touring the community, and providing follow-up documentation after client visits and calls.
  • Collaborate with the Regional Manager to outline a business plan for each community, continuously strategizing on a weekly, monthly, and quarterly basis to measure progress against the plan and proactively suggest improvements.

SYSTEMS OVERSIGHT

  • Complete tasks in the Property Management System (PMS) in accordance with leasing week restrictions.
  • Request access to properties for staff and self.
  • Review property websites, ILS listings, and advertising materials.
  • Monitor social media postings and content.
  • Review and update market survey information.
  • Manage employee engagement platforms.
  • Approve expense management and reporting.
  • Oversee internal applicant platforms and recruitment efforts.
  • Handle resident and vendor-related inquiries.

TIME MANAGEMENT SOFTWARE:

Approve PTO requests, schedule quarterly and annual discussions, ensure weekly timecards are completed and approved for onsite team members, and enter any corrections within the current pay period. Additionally, input monthly and quarterly bonuses into the system for payment.

  • Review and approve Yardi/RealPage/Entrata invoices, floor plans, pricing audits, work orders, make-ready reviews, delinquency assessments, and pending application management.
  • Conduct weekly calls and pricing reviews with LRO/AIRM/Yieldstar, as well as manage lease expirations.
  • Review and approve quarterly bonuses.
  • Monitor support tickets for team members and provide necessary approvals.
  • Manage daily email communications through Office 365.
  • Review and manage KPIs.
  • Oversee vendor management and communication.

REPORTING:

  • Generate manual client reports and ensure their accuracy.
  • Compile and review monthly and quarterly bonus reports.
  • Prepare Monday Morning Reports (weekly reports).
  • Access KPI, marketing, and other required reports.
  • Review team training completion and provide coaching.
  • Engage in self-training.
  • Analyze collections reporting, including accounts not submitted and recovery efforts.
  • Compile and analyze financial reports.

FINANCIAL OVERSIGHT:

  • Review and approve purchase orders and invoices (within approval limits and/or if no Regional Manager is in place).
  • Review pre-close property financials.
  • Oversee month-end accounting closeout and review.
  • Provide budget variance notes to ensure accuracy.
  • Conduct GL scrubs and financial review calls with accounting.
  • Ensure timely and accurate submissions to clients on a monthly basis.
  • Prepare annual budgets and conduct re-forecasting and cash analysis.
  • Contribute to monthly draws and processing of construction invoices.
  • Regularly monitor cash positions in collaboration with the accounting team.

ADMINISTRATIVE FUNCTIONS:

  • Assist Regional Managers in managing unit and amenity pricing, either manually or through Revenue Management Software.
  • Complete required training.
  • Review incident reports and manage insurance claims.
  • Source vendors and review contracts.
  • Coordinate with corporate support departments for specific property needs.
  • Review routine audits of all communities conducted by Regional Managers.
  • Review monthly leasing bonuses.
  • Monitor maintenance audits and routine preventive maintenance inspections.
  • Ensure timely and professional email responses.

BUSINESS DEVELOPMENT/DUE DILIGENCE & TRANSITIONS:

  • Review and create proformas.
  • Coordinate and complete due diligence file audits and unit inspections.
  • Attend due diligence meetings, preparation, and task completion for property transitions.
  • Prepare for new business pitches and client introduction calls.
  • Respond to RFPs.
  • Conduct SWOT analyses and evaluate competitors in the market area.
  • Complete post-transition checklists and onboarding for new communities.

Qualifications:

  • Minimum of four years of experience in property management, with at least two years in a Regional Manager or multi-site manager role.
  • Bachelor's degree from an accredited institution; or one to two years of related experience and/or training; or an equivalent combination of education and experience.
  • Experience in third-party management.
  • Proficiency in Microsoft applications.
  • A valid Driver's License is required.
  • Familiarity with Property Management Software (Yardi preferred).
  • Organized, self-motivated individual with strong business acumen.
