Overview:

The Event Operations Supervisor is tasked with overseeing the daily functions of the event management department. This role demands outstanding leadership capabilities, effective communication, and superior customer service skills to guarantee that all gatherings and events proceed seamlessly for participants. The supervisor will consistently enhance their understanding of culinary and beverage selections while remaining informed about contemporary event trends.

Key Responsibilities:

  • Oversee inventory management of event equipment.
  • Forecast supply requirements for the department, including tableware, glassware, cutlery, and presentation materials.
  • Convey specific event details to staff during pre-event briefings.
  • Review all aspects of Banquet Event Orders (BEOs) and verify room arrangements prior to each event for accuracy, including table setups, tableware, and linens.
  • Participate in regular BEO and departmental meetings.
  • Collaborate closely with sales and culinary teams to ensure successful event execution.
  • Coordinate with housekeeping and maintenance to deliver the highest quality service.
  • Recognize the significance of event operations in the overall success of gatherings.
  • Assist in conducting monthly inventory assessments as scheduled.
  • Support the annual performance evaluation process for all event team members.
  • Engage in the development and execution of corrective action strategies.
  • Maintain effective interdepartmental communication with all teams.
  • Adhere to professional appearance and uniform standards.
  • Utilize beverage records to manage costs and oversee inventory of event beverages.
  • Work collaboratively with management, colleagues, and staff.
  • Schedule event service personnel in accordance with service standards.
  • Ensure that client and team member areas are safe and secure.
  • Perform additional duties as assigned by supervisors.

Qualifications:

  • 2-3 years of experience in event management within a luxury hospitality environment, catering service, or private club with similar responsibilities.
  • A minimum of 2 years of supervisory experience, including task assignment, service evaluation, and disciplinary actions as necessary.
  • Proficient in executing high-end banquet service and creatively designing buffet and display menus.
  • Strong knowledge of food, wine, and spirits.
  • Ability to prioritize tasks and manage multiple assignments effectively.
  • Excellent verbal and written communication skills.
  • Competent in computer applications, particularly Excel and Word, and familiar with POS systems.
  • Dependable attendance and punctuality are essential.
  • Must be available to work during weekends, evenings, and holidays as required by business needs.
  • Exhibit a positive attitude, self-motivation, politeness, and enthusiasm.
