ROLE SUMMARY

The Human Resources Specialist will assist the HR Manager in providing operational support for essential human resources initiatives and functions across the organization. Responsibilities encompass compliance, employee engagement, onboarding processes, benefits management, and administrative tasks related to payroll and recruitment.

EMPLOYMENT STATUS: Non-Exempt, 30 hours or 3 days a week, with potential for full-time consideration for the right candidate.

KEY RESPONSIBILITIES

  • Ensure adherence to legal standards by tracking and implementing relevant human resource regulations at the federal, state, and local levels, while maintaining accurate personnel records, including files and I-9 documentation.
  • Facilitate the onboarding of new employees, manage the I-9 process, set up time clock entries, and coordinate PEO enrollment. Conduct orientation sessions alongside the HR Manager.
  • Oversee benefit communications and enrollment processes, providing education and support during open enrollment in collaboration with PEO.
  • Update job descriptions and requirements to maintain the integrity of the work structure.
  • Manage team member files and documentation, ensuring proper organization in both electronic and paper formats.
  • Support the HR Manager and departmental leaders with job requisitions and communication via Applicant Tracking Systems.
  • Conduct background checks, MVR checks, and reference verifications in compliance with EEO and AA standards.
  • Handle employee offboarding as necessary.
  • Coordinate employee transportation programs and wellness incentives (e.g., ski passes, gym memberships).
  • Assist in managing company recognition programs and events such as development initiatives, seasonal celebrations, and team meetings.
  • Administer benefits programs, including wellness incentives and transportation passes.
  • Organize content for safety meetings and training sessions.
  • Collaborate with the HR Manager and PEO on Workers Compensation claims, FMLA, ADA, STD/LTD, and Leave of Absence matters.
  • Uphold strict confidentiality and ensure compliance with HIPAA regulations.
  • Foster positive relationships with employees.
  • Perform additional duties as assigned.

QUALIFICATIONS

  • Bachelor's degree in Human Resources or a related field is preferred.
  • One to two years of experience in administrative support or human resources is preferred.
  • Proficient in Microsoft Office, particularly advanced Excel skills.
  • Strong verbal and written communication skills in English, with the ability to engage effectively with employees at all levels in a courteous and service-oriented manner.
  • Bilingual (Spanish) is a plus.
  • Excellent conflict resolution and consultation abilities.
  • Meticulous attention to detail and a commitment to maintaining confidentiality.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

  • The HR office is equipped with standard office equipment including computers, phones, filing cabinets, desks, and chairs.
  • Frequent interaction with employees, homeowners, and potentially guests.
  • Ability to sit or stand for extended periods.
  • Capability to lift items weighing up to 25 lbs.
