Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and clerical support to the Program Director of Transitional Housing.

Key Responsibilities
  • Provide administrative support to the Program Director, including preparing and submitting billing, maintaining client charts, and ensuring compliance with regulatory requirements.
  • Update and distribute the daily client list to Program Services staff, maintain the chart room, and ensure accurate and timely processing of Department of Homeless Services incident reports.
  • Organize van schedules, initiate van requests, and collect and submit reports to the Research and Evaluation Department.
  • Perform accurate data input into the Client Assistance and Rehousing Enterprise System (CARES) to ensure compliance with NYS Office of Temporary Disability Assistance (OTDA) and NYC Department of Homeless Services (DHS) contractual requirements.
  • Schedule and coordinate trainings and events, maintain Program Services staff calendars, and update the Win Directory in Microsoft Outlook Public Folders.
  • Perform related duties as assigned, including filing, copying, and faxing correspondence related to program services.
Requirements
  • High School Diploma or equivalent required.
  • Typing speed of 50 wpm and proficiency in Microsoft Word, Excel, PowerPoint, and Outlook required.
  • Detailed-oriented with excellent communication and organizational skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Ability to interact effectively with people at all levels.
