Responsibilities:


Reporting directly to the Administrative Supervisor, the Appointment Coordination Specialist plays a crucial role in supporting the Scheduling team with intricate scheduling tasks for both clinical and non-clinical departmental activities.


The role involves assisting in the organization, maintenance, and preservation of essential electronic and physical records that document the scheduling history of the Department, as well as aiding the Scheduling team in managing the Department's scheduling system.


The incumbent will handle general correspondence, respond to phone inquiries, take meeting minutes, transcribe discussions, and prepare presentations and materials for meetings.


Additionally, the role encompasses involvement in various Scheduling projects related to Faculty, Fellow, Resident, Certified Nurse Anesthetist (CRNA), and Nurse Practitioner schedules.

General clerical and secretarial support to departmental staff is also part of the responsibilities.

Qualifications:
Familiarity with clinical, research, and academic environments is essential. Proficiency in Scheduling Software is required.

Experience in a medical setting is preferred.

Experience within an academic institution of higher education is advantageous.

Ability to create and maintain tracking systems for managing extensive information is necessary.

Basic to intermediate accounting skills are beneficial.

High-level computer proficiency, particularly with computerized databases, is expected.

Resourcefulness in problem-solving and the initiative to propose and implement effective solutions are vital.

Strong organizational and time management skills, along with customer service abilities, are essential for effective team support.

Proficiency in MS Office Suite, including PowerPoint, is required.

Required:
Exceptional ability to maintain confidentiality regarding sensitive matters and discretion in communication with colleagues and stakeholders.

Capability to approach diverse projects with meticulous attention to detail and quality of writing.

Self-motivated with demonstrated initiative and sound judgment in seeking guidance when necessary.


Ability to independently prioritize tasks and meet deadlines in a dynamic office environment characterized by frequent interruptions.

Capacity to work autonomously and follow through on assignments with minimal oversight.

Skill in composing concise, grammatically correct correspondence.

Ability to maintain accurate records.
