Role Summary:

We are looking for a meticulous and organized Legal Office Coordinator to enhance the efficiency of our client's legal team. The successful candidate will possess prior experience in a law firm environment, particularly in the realms of trusts, estate planning, and probate. This role involves assisting with the preparation of legal documents and requires a strong commitment to client service and detail-oriented work.

Key Responsibilities:

  • Assist in drafting and preparing documents related to probate, trusts, and estate planning.
  • Provide comprehensive administrative support, including managing phone communications, welcoming clients, and overseeing mail operations.
  • Prepare, review, and format legal documents and correspondence with precision.
  • Support financial record-keeping and administrative tasks.
  • Occasionally cover the reception desk as needed.
  • Coordinate schedules, appointments, and meetings efficiently.
  • Maintain organized electronic and physical filing systems for easy access to documents.
  • Assist with billing processes, including time entry and addressing client billing inquiries.
  • Offer training assistance to fellow administrative staff as required.
  • Perform additional duties as assigned specific to the role.

Qualifications:

  • High school diploma or equivalent required; an associate or bachelor's degree is preferred.
  • A minimum of three years of experience in a professional services or law firm environment is preferred.
  • Exceptional organizational skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, with meticulous attention to detail.
  • Demonstrated client service skills and experience in mentoring colleagues.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Adobe, or similar PDF software, with a willingness to learn new technologies.
  • Ability to maintain confidentiality and manage sensitive information with discretion.
