Role Summary:
We are in search of a meticulous and organized Legal Office Coordinator to enhance the efficiency of our client's legal team. The ideal candidate will possess prior experience in a legal administrative capacity, particularly in the realms of trusts, estate planning, and probate. This role is pivotal in preparing essential documents and supporting the firm’s operations, requiring a strong commitment to client service and attention to detail.
Key Responsibilities:
- Assist in the preparation and execution of documents related to probate, trusts, and estate planning.
- Provide comprehensive administrative support, including managing phone communications, welcoming clients, and overseeing mail distribution.
- Draft, review, and format legal documents and correspondence with precision.
- Maintain accurate financial records and assist with administrative bookkeeping tasks.
- Offer reception coverage during peak times as required.
- Coordinate schedules, appointments, and meetings to ensure smooth operations.
- Organize and maintain both electronic and physical filing systems for easy access to documents.
- Support billing processes, including time tracking and client invoicing inquiries.
- Facilitate training for new administrative staff as necessary.
- Perform additional duties specific to the role as assigned.
Qualifications:
- High school diploma or equivalent required; an associate or bachelor’s degree is preferred.
- A minimum of three years of experience in a professional services or legal environment is preferred.
- Exceptional organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Strong written and verbal communication skills, with a focus on detail.
- Demonstrated client service skills and experience in mentoring colleagues.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Adobe, or similar software, with a willingness to learn new technologies.
- Ability to maintain confidentiality and handle sensitive information with care.
