Role Summary:
The on-site Facilities Operations Specialist (FOS) will report directly to the Senior Facilities Manager (SFM) and will be tasked with providing essential administrative, operational, and event support for the facility.
The FOS will play a crucial role in assisting with vendor management and facility operations in the absence of the SFM. Specific responsibilities will include, but are not limited to, the following:
Key Responsibilities:
- Maintain consistent communication with the Facilities Team, with a primary focus on on-site presence typically five (5) days a week.
- Develop and manage the weekly Facilities operational calendar, detailing events and schedules.
- Coordinate with contractors visiting the facility, ensuring effective communication with Engineering and Security teams.
- Address requests related to mechanical, electrical, plumbing, and furniture needs from Facilities staff.
- Prepare and update vendor contracts and maintain relevant spreadsheets.
- Oversee the coding of property invoices for SFM's review.
- Support the coordination of all Conference & Events programs:
- Participate in weekly BEO meetings and maintain the BEO binder.
- Prepare cost proposals and final reconciliations for events as directed by SFM, including invoicing and tracking damages.
- Develop staffing plans for events requiring additional Facilities support based on cost grids and logistical memos.
- Prepare and disseminate Special Event Notifications (SEN) to relevant staff on a case-by-case basis.
- Compile and submit monthly investor reports for SFM's review and approval.
- Conduct facilities inspections and generate necessary reports.
- Engage in Facilities Project meetings, documenting minutes and updates.
- Manage the Building Engines (BE) work order system to ensure timely responses to client inquiries and requests.
- Collaborate with contractors/vendors to obtain cost proposals for various projects.
- Assist in the development and maintenance of operational policies and procedures.
- Contribute to the preparation of the annual operating budget and reports for the facility.
- Perform additional duties as assigned by SFM.
Qualifications:
- 1 to 3 years of experience in a support role is preferred.
- Bachelor's degree from an accredited institution.
- Experience in commercial property management is preferred.
- Strong interpersonal and organizational skills are essential.
- Attention to detail and effective prioritization abilities are crucial.
- Proficient in Microsoft Office suite.
